Reporting directly to the Director, Customer Operations, the Operations & Fulfillment Coordinator is responsible for the end-to-end execution of our head office swatch fulfillment operation across Moe’s Home Collection, Sundays, and Hetta, while also providing operational and order management support to the broader team. This hands-on role combines physical fulfillment, inventory management, systems work, and administrative support and is well suited to someone who is organized, detail-oriented, and takes ownership of getting things done accurately and on time. 

DUTIES & RESPONSIBILITIES: 

Swatch Fulfillment & Management (Primary – approximately 80%) 

  • Process incoming swatch and sample requests for Moe’s Home Collection, Sundays, and Hetta accurately and on time. 
  • Pick, pack, and ship swatch and sample requests, ensuring orders are fulfilled accurately and within service level timelines. 
  • Receive incoming swatch inventory and ensure materials are accurately accounted for and put away in a timely manner. 
  • Maintain and organize the swatch library, ensuring materials are correctly labeled, stocked, and easy to locate for efficient picking. 
  • Monitor inventory levels, flag low or out-of-stock materials, and coordinate replenishment and reordering with the Planning team. 
  • Perform quality checks before shipping to ensure the correct material and colour are sent and that all swatches are in good condition. 
  • Track daily and weekly swatch order volumes and monitor fulfillment against service level timelines. 
  • Book shipments directly through carrier and shipping portals and generate shipping labels and tracking information, taking ownership of on-time dispatch. 
  • Maintain a clean and organized swatch workstation and storage area and ensure packing supplies remain stocked. 

Order Management & Operations Support (Secondary – approximately 20%) 

  • Support order management activities, including order release and invoicing, as required. 
  • Provide general administrative and operational support to the broader team based on available capacity. 
  • Assist with ad hoc operational tasks and projects as required. 

SKILLS & QUALIFICATIONS: 

  • Highly organized with excellent attention to detail and strong follow-through. 
  • Strong written and verbal communication skills. 
  • Comfortable learning and working across multiple systems, including ERP/order management systems, Microsoft Excel, and shipping/carrier portals; strong general systems knowledge is an asset. 
  • Demonstrated ownership and accountability, with the ability to manage shipments and ensure on-time dispatch with minimal supervision. 
  • Ability to prioritize and accurately manage repetitive, high-volume tasks in a fast-paced environment. 
  • Comfortable performing the physical requirements associated with picking, packing, and shipping, including standing and light lifting. 
  • Self-motivated and eager to learn, grow, and take on additional responsibilities over time. 
  • Strong computer skills, including Microsoft Excel, Outlook, and Word. 
  • High school diploma required. 
  • Previous experience in an administrative, warehouse, retail, customer service, or similar role is an asset. 
  • Ability to work in person from our head office at 1728 Glen Drive five days per week.

The salary range for this role is currently budgeted at $45,000 -$50,000 + bonus annually.
