Job Overview: Reporting directly to the General Manager, the Operations & Fleet Support Specialist is primarily focused on the administrative, compliance, and systems management side of our transportation business. This full-time role serves as the critical checkpoint for operational accuracy, ensuring plan viability, verifying strict HOS (Hours of Service) regulatory compliance, and managing maintenance software and shop inventory. While the role is heavily administrative, it requires a hands-on approach to bridge communication and workflow between the dispatch desk, management, and the maintenance shop floor. --- CORE RESPONSIBILITIES Compliance, Administration & Dispatch Quality Control · Plan Viability & HOS Monitoring: Review daily logs to ensure driver schedules are viable, audit Hours of Service (HOS) for strict regulatory compliance, and proactively resolve potential timing or scheduling violations. · Optimal Vehicle Selection: Work closely with management and dispatch to assign the right equipment for each group, ensuring assignments strictly align with contract expectations and the specific "temperature" or status of the client relationship. · Ticket Auditing: Double-check dispatch work tickets for timing feasibility and absolute data accuracy regarding routes, schedules, passenger counts, and billing details. · Relay Building: Assist dispatchers in building driver relays and modifying work tickets to optimize fleet movement. Maintenance Systems & Inventory Management · Fleetio Management: Act as the primary administrative support for maintenance tracking; input, track, audit, and close out vehicle work orders and maintenance logs using Fleetio. · Inventory & Stock Tracking: Maintain a rigorous, ongoing inventory of all shop parts, vehicle components, and facility cleaning supplies within the fleet software. · Procurement: Track supply thresholds and proactively order or restock inventory so the shop and detailing teams are always equipped. Fleet Readiness & Shop Support · Fleet Inspections: Assist shop personnel with routine vehicle inspections to ensure maximum safety, documentation accuracy, and DOT compliance. · Motorcoach Detailing Support: Actively assist in cleaning, prepping, and staging motorcoaches to ensure they meet pristine presentation standards before departure. --- PREFERRED QUALIFICATIONS & SKILLS · Experience: 1–2 years in transportation, logistics, dispatch, or a fast-paced industrial administrative role. · Compliance Mindset: High attention to detail with a strong aptitude for learning, monitoring, and enforcing DOT regulations and Hours of Service rules. · Tech Literacy: Strong proficiency in using fleet management software (Fleetio experience is a major plus) and electronic logging devices (ELDs). · Client & Contract Awareness: Ability to evaluate client nuances and contract details to make strategic operational decisions (such as vehicle matching). · Adaptability: Primarily comfortable handling clerical and data management systems, but willing to step onto the physical shop floor to support inspections and detailing. · Flexibility: Open to an evolving schedule that may require after-hours, on-call, or weekend availability to support our fleet operations.
