WHAT YOU’LL DO
The Operations Administrative Assistant serves as the primary point of contact for visitors and callers while providing essential administrative and operational support to ensure the office runs efficiently. In this role, you will:
  • Serve as the main receptionist, answering incoming calls and directing them to the appropriate office or employee.
  • Greet and assist visitors, including customers, clients, and vendors, ensuring they connect with the appropriate employee or meeting.
  • Maintain a clean, organized, and welcoming reception area, conference rooms, kitchens, and training rooms.
  • Schedule and coordinate the use of company conference rooms, including meeting setup and catering arrangements.
  • Maintain the Layer 3 corporate calendar to ensure accurate and visible meeting and event information.
  • Handle incoming and outgoing mail and packages, including preparing and assisting with FedEx shipments.
  • Order, receive, and maintain office and kitchen supplies to ensure adequate inventory levels.
  • Coordinate the use of rental cars and vans, including scheduling and logistics.
  • Serve as the liaison with Enterprise Rental for all branches, managing reservations and monthly reporting.
  • Provide event planning support for company meetings and events.
  • Assist with the review of Expensify reports and support company credit card reporting.
  • Assist with office maintenance needs, including coordinating repairs and working with vendors.
  • Perform other administrative and operational duties as assigned.
WHAT YOU’LL BRING
  • Strong verbal and written communication skills.
  • Professional personal presentation with strong customer service orientation.
  • Working knowledge of administrative and clerical procedures.
  • Ability to operate a multi‑line phone system.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities in a fast‑paced environment.
  • Ability to work effectively independently and as part of a team.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
EDUCATION AND EXPERIENCE
  • High school diploma or equivalent required.
  • Previous experience as an administrative assistant, receptionist, office support, or customer service role preferred.
  • Experience working in a professional office environment is a plus.
