Reports To Director of Operations Position Summary The Front Office Manager oversees daily front office operations to ensure effective staff coverage, accurate administrative processes, efficient resource management, and high-quality customer service. This position directly supervises Customer Service Attendants (CSAs), coordinates front office activities with other shelter departments, and maintains a professional, organized, and welcoming environment for visitors, volunteers, staff, and community members. The Front Office Manager ensures front office practices are consistent with the Humane Society of Elkhart County’s policies, procedures, mission, and values. Essential Functions · Supervise the daily work of Customer Service Attendants (CSAs), including assigning responsibilities, providing guidance and training, monitoring performance, and conducting performance reviews. · Develop and maintain monthly staff schedules to ensure appropriate front office coverage during operating hours. · Oversee the accurate documentation and timely receipting of monetary and in-kind donations; balance daily cash registers and prepare required reports and documentation for accounting. · Coordinate front office support for animal adoptions, meet-and-greets, and adoption counseling; ensure accurate data entry, record retention, and database updates. · Monitor office supply and equipment needs, coordinate inventory and purchasing with the Finance Manager, and provide budgetary input regarding office supplies, equipment, and staff training needs. · Oversee incoming mail, email, and telephone communications; ensure inquiries are addressed or routed appropriately and that accurate information regarding shelter programs, services, policies, events, and fees is provided to the public. · Ensure confidentiality, accuracy, and appropriate handling of organizational, customer, donor, and animal records. · Coordinate with other shelter departments to support efficient workflow, consistent communication, and effective customer service. · Maintain front office procedures and service standards to ensure a professional, organized, and welcoming environment. · Perform other job-related duties as assigned. Required Qualifications · High school diploma or equivalent. · At least one year of experience in office management, customer service supervision, administrative coordination, or a related role. · Demonstrated proficiency with computer-based databases, office software, recordkeeping systems, and basic financial and cash-handling procedures. · Demonstrated ability to supervise, train, guide, and communicate effectively with staff and volunteers. · Strong interpersonal, organizational, and customer service skills, with the ability to work collaboratively and professionally with diverse members of the public. · Ability to exercise sound judgment, maintain confidentiality, prioritize multiple responsibilities, and resolve routine customer service and operational concerns. · Ability to reliably report to work as scheduled and maintain a flexible schedule based on operational needs. Preferred Qualifications · Associate or bachelor’s degree in business administration, management, or a related field. · Two or more years of supervisory experience, preferably in a nonprofit, veterinary, animal welfare, or animal shelter environment. · Experience with shelter management databases, office budgeting, purchasing, inventory management, or community outreach. Physical Demands and Work Environment This position regularly requires standing, walking, sitting, bending, reaching, and crouching while performing duties in an animal shelter and office environment.
