As our practice continues to grow, we're looking for an experienced Practice Operations Manager to oversee daily operations, lead our team, and help ensure the practice runs efficiently and smoothly. About the Role This is a hands-on leadership position for someone who enjoys managing people, solving problems, improving processes, and taking ownership of day-to-day operations. The ideal candidate is organized, proactive, approachable, and confident making decisions independently. We're looking for someone who can anticipate needs, address challenges before they escalate, and provide consistent leadership to our team. You'll work closely with practice ownership while having the autonomy to manage daily operations and help shape the continued growth of SkinLaB. Key Responsibilities Team Leadership & Management Oversee daily staff operations, including front-office and clinical support personnel. Serve as the primary point of contact for employee questions, scheduling concerns, and operational issues. Manage staff schedules, attendance, time-off requests, and daily coverage. Set clear expectations, monitor performance, and provide constructive feedback. Address employee concerns and interpersonal conflicts professionally and promptly. Assist with hiring, onboarding, training, and performance evaluations. Promote a positive, collaborative work environment while maintaining accountability and professionalism. Practice Operations Oversee daily workflow to ensure efficient patient scheduling, room utilization, and provider support. Identify operational inefficiencies and implement practical solutions. Maintain and improve office policies, procedures, and standard operating protocols. Coordinate inventory management, ordering, and vendor relationships. Oversee administrative aspects of practice software, scheduling systems, and technology. Coordinate equipment maintenance, facility needs, and communication with outside service providers. Ensure administrative processes are completed accurately and consistently. Patient Experience Help maintain an exceptional patient experience from initial contact through checkout and follow-up. Address patient concerns and service-related issues professionally and independently when appropriate. Support front-office staff in maintaining efficient scheduling, communication, and patient flow. Identify opportunities to improve patient satisfaction and retention. Business & Administrative Oversight Monitor key operational metrics, including scheduling efficiency, cancellations, inventory, and patient flow. Support implementation of promotions, new services, and practice initiatives. Assist with payroll preparation, staff records, and administrative reporting. Work with ownership to identify opportunities for improved efficiency, productivity, and profitability. Help coordinate operational aspects of practice growth, including onboarding new providers and implementing new systems. Qualifications Required Minimum 2 years of experience in medical office administration, practice operations, or a comparable healthcare setting. Previous experience directly supervising and managing employees. Demonstrated ability to handle employee performance concerns, conflict resolution, and day-to-day operational decisions.
