OFFICE MANAGER ATLANTIS TILE & MARBLE The office manager plays a major role in ensuring the health, safety, stability and overall success of the company. They work under the guidance of the President and upper management to help guide employees and shape office operations to fit the company’s vision and goals. DUTIES AND RESPONSIBILITIES Opening correspondence, answering phone calls and acting as the office’s primary point of contact Overseeing the daily operation within the office including but not limited to ordering, inventory and processing invoices Scheduling maintenance visits and ordering furniture and equipment necessary for seamless operations Completing administrative tasks, like filing paperwork and updating employee records Supervising and supporting administrative staff, including hiring, scheduling, training and performance evaluations Overseeing the administrative department’s budget and resources Coordinating communications, workflows and schedules Developing and implementing office policies and procedures to improve workflow and compliance Supervising the records management processes and procedures Delegating administrative tasks to team members Managing the facilities and equipment to create a safe environment Ensuring compliance with relevant regulations Assisting other employees, such as helping with onboarding or ensuring workers have the necessary resources Planning company events, assisting customers and making arrangements as necessary for in house meetings Making travel arrangements for employees SKILLS AND QUALIFICATIONS Exceptional organizational ability and multitasking skills Flexible enough to adapt to changing office needs and to-do lists Strong written and verbal communication skills for professional presentations, reports, phone calls and emails Willingness to collaborate with other employees and vendors Understanding of common office software and programs, such as inventory management software and Microsoft Office and Google workspace Attention to detail when creating and refining documentation Financial acumen to manage office expenses Strong grasp of office management procedures, including workflow optimization, facilities coordination and administrative compliance Experience reviewing purchase orders, invoices and expense reports Leadership skills, including team delegation and conflict resolution Analytical thinking with the ability to identify process inefficiencies and implement practical solutions Clear written and verbal communication skills, especially when developing internal policies or liaising with executives, vendors or clients Join our team as an Office Manager to lead our administrative functions with enthusiasm!
