Office Assistant/Dispatch Coordinator

Overview About the Position: Express Diagnostics is a growing automotive diagnostics and ADAS calibration company seeking an organized, dependable, and motivated individual to join our Louisville team.This position plays an important role in daily operations, coordinating technicians, communicating with customers, scheduling work, and keeping our workflow running efficiently. We're looking for someone who takes initiative, can manage multiple tasks, and enjoys working in a fast-paced environment Key Responsibilities: Customer Communication: Answer incoming phone calls, respond to texts and emails, and provide excellent customer service. Scheduling & Dispatching: Coordinate daily appointments, dispatch field technicians, and proactively communicate upcoming assignments. Route Planning: Organize efficient technician routes to minimize unnecessary travel time and downtime. Technician Coordination: Monitor job progress, adjust schedules, and ensure technicians have the information needed for their next assignment. Remote Scanning: Assist with remote pre-repair and post-repair vehicle scanning services for collision repair facilities. Billing & Documentation: Prepare invoices, verify completed services, and maintain accurate customer and service records. Daily Operations: Assist with general office administration, prioritize incoming requests, and help maintain a smooth, organized workflow. Qualifications Strong communication and customer service skills. Excellent organization and multitasking abilities. Comfortable working with computers, email, and office software. Ability to work independently and take initiative. Strong attention to detail and problem-solving skills. Dependable, punctual, and professional. Ability to work in a fast-paced environment with changing priorities. Experience in automotive repair, collision repair, dispatching, scheduling, or office administration is preferred but not required.
