We are seeking a dynamic and experienced Office Assistant to join our Purchasing Department and play a pivotal role in aligning our finding top-tier subcontractors who align with our commitment to excellence. Responsibilities: The right candidate will support the purchasing department with a variety of clerical tasks. As the Office Assistant, your responsibilities will include: Essential Duties and Responsibilities: Maintain vendor packets and qualifications Requests for pricing, load price changes Revising/updating feature lists Updating project vendor lists Organizing and scheduling new vendor appointments Pricing and distributing design changes Keeping all plans updated and in stock New project product binders Keep the office organized Coordinate all paperwork for vendors Process purchase orders, change orders, and notices to proceed Create and maintain contract files Research invoice or purchase order issues as needed Prepare bid packages Managing all documentation and communication related to subcontractor selection, contracts, and project coordination. Maintain a clear and open line of communication with project managers, general contractors, and other stakeholders. Playing a key role in promoting the company's commitment to quality, safety, and on-time project delivery. Qualifications: To be successful in this role, you should possess: Previous experience in purchasing or procurement within the construction industry. Strong knowledge of subcontractor sourcing and selection processes. Effective Time Management Skills Excellent negotiation and communication skills. Proficiency in Organization and documentation management. The ability to build and maintain professional relationships with subcontractors. Proficient in Microsoft Office Attention to detail and a results-driven approach. Education: High school diploma or general education degree (GED); or six months to one year of related experience and/or training; or equivalent combination of education and experience.
