Our Gilbert, Arizona office is a small, collaborative team where every employee plays an important role in our success. We are looking for a dependable, detail-oriented Office Administrator to support our daily operations, accounting, customer service, and international communications. In this role, you will coordinate with company leadership, our CPA, insurance broker, and retirement plan administrator to help keep our office running smoothly. This position is ideal for someone who enjoys taking ownership of their work. Because our office is small, the Office Administrator often works independently while the rest of the team is traveling or attending meetings. Much of the communication in this role is conducted through email, but the successful candidate must be confident communicating by phone whenever business needs require it. The successful candidate will be comfortable managing priorities, staying organized, and working independently while knowing when to collaborate or reach out for assistance. As a small office supporting an international business, our workload naturally varies. Some days are fast-paced with multiple priorities, while others provide time to complete projects, organize records, and prepare for upcoming work. Responsibilities * Prepare and process import/export documentation, including purchase orders, invoices, quotations, and related paperwork. * Coordinate with our headquarters in South Korea, customers, and vendors regarding administrative and shipping documentation. * Maintain financial records, including office expenses and sales activity, and coordinate with the company's CPA. * Provide administrative and sales support using Microsoft Office applications. * Coordinate employee benefits, including health insurance and 401(k) administration, by working with our insurance broker and retirement plan administrator. * Manage company insurance policies, renewals, and related documentation. * Support basic HR and administrative functions for a small office team. * Answer incoming phone calls and assist customers, suppliers, and the sales team. * Maintain organized records and documentation. * Assist with general office administration and other duties as assigned. Qualifications * Minimum of 2 years of administrative office experience. * Proficiency with Microsoft Office (Word, Excel, and Outlook). * Experience with QuickBooks. * Experience with bookkeeping, accounting, or employee benefits administration preferred * Experience supporting basic HR or office administration is a plus * Excellent organizational skills with the ability to multitask and prioritize work. * Strong written and verbal communication skills. * Ability to work independently as well as collaboratively in a team environment. * Self-motivated with the ability to take initiative, manage changing priorities, and work independently without close supervision * Strong critical thinking and problem-solving skills. * Associate's or Bachelor's degree preferred, or…
