Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism Answer multi-line phone systems promptly and courteously, directing calls or taking messages as needed Perform data entry tasks accurately using tools like QuickBooks, Microsoft Office, and Google Workspace to maintain records and financial information Handle filing systems—both digital and paper—to ensure easy retrieval of documents and compliance with record-keeping standards Provide excellent customer support by addressing inquiries via phone or email, ensuring positive interactions at all times Assist with bookkeeping duties including invoicing, expense tracking, and basic financial reconciliation using QuickBooks Assist in purchasing product, quote draft prep for sales team, staff planning and events coordination. Support office supply management by monitoring inventory levels and placing orders to keep the workspace well-stocked and organized Requirements Proven clerical experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with data entry, filing systems, and general office procedures Familiarity with QuickBooks or similar bookkeeping software is highly desirable Excellent phone etiquette and customer service skills, especially in handling multi-line phone systems and front desk duties Ability to perform computer-based tasks efficiently including typing, proofreading, and document management Previous experience in medical or dental office environments is a plus; familiarity with front desk operations in healthcare settings is advantageous Strong organizational skills with the ability to prioritize tasks effectively in a busy office setting Join us to be part of a vibrant team that values proactive problem-solving, clear communication, and a positive attitude.
