We are looking for a detail-oriented Part-Time Office Administrative & Billing Assistant to support our project managers, track field operations, and ensure accuracy across our billing and inventory workflows. Position Overview In this role, you will serve as a vital link between field technicians, project managers, and the administrative office. Your primary focus will be managing daily technician timesheets, translating completed field work into client billing, mapping fiber routes, and supporting procurement and inventory processes. This is a part-time position with a forecasted schedule of up to 30 hours per week and may grow into a full time role. If you have a background in billing or the construction industry, a strong eye for detail, and a knack for organizing operational data, we want to hear from you. Key Responsibilities 1. Billing & Timesheet Management Collect, verify, and track daily field technician timesheets to ensure accurate project hours and customer billing. Reconcile daily production reports against client billing guidelines to ensure all billable labor and work completed are captured accurately. Assist in preparing and issuing customer invoices in a timely manner. 2. Fiber Route Mapping & Work Tracking Learn and utilize mapping software/tools to trace and log fiber optic cable routes. Annotate and label route maps with work completed by field splicers for client verification and billing backup documentation. 3. Procurement & Inventory Control Assist with material procurement by generating and tracking Purchase Orders (POs) for project materials and safety equipment. Maintain an organized inventory spreadsheet to track incoming stock, material allocations per job, and reorder thresholds. 4. Bookkeeping & General Administration Assist with basic bookkeeping duties, including invoice tracking, expense allocation, and light accounts receivable/payable support. Provide general administrative support to Project Managers and executive leadership as needed. Qualifications & Skills Experience: 1–3 years of experience in billing, job costing, or office administration (experience in construction, utility, or telecommunications industries is a major plus). Software Proficiency: Proficient in Microsoft Office Suite (Excel, Word, Outlook) with strong spreadsheet skills. Proficient in Google Workspace (Docs, Sheets, Drive). Knowledgeable in Adobe Acrobat for PDF creation, markup, and document assembly. Bookkeeping: Knowledge of basic bookkeeping principles or experience with accounting tools (e.g., QuickBooks) is highly preferred. Technical Aptitude: Ability and willingness to learn fiber optic route mapping software and technical labeling procedures.
