Compliance SolutionsJob Summary We are seeking a highly organized, detail-oriented, and professional Office Administration Assistant to support our sales, operations, and training teams. This position will provide administrative and customer service support while coordinating a variety of logistics activities associated with nationwide seminars and class operations. The ideal candidate is an excellent communicator, comfortable managing multiple priorities, proficient with computers and Microsoft Office, and able to work independently while collaborating effectively with internal teams, instructors, vendors, and customers. Duties Customer Service & Administrative Support Resolve customer questions and issues in a professional, courteous, and timely manner. Manage inbound and outbound calls efficiently and professionally. Handle student/client confirmation, cancellation, and rescheduling calls. Provide administrative support to company sales and operations personnel. Communicate with contract and full-time instructors regarding schedules, resources, travel, and class logistics. Support the Director of Training Operations with various logistics, administrative, and operational activities. Maintain accurate records and handle confidential information with discretion and integrity Logistics & Operations Coordinate and execute a broad range of logistics functions, including shipping, travel, inventory, warehousing, and materials management. Research and book classroom venues for seminar classes throughout the country. Maintain and organize materials inventory and stockroom supplies. Prepare, package, track, and ship class materials and resources to class locations and instructors in advance of scheduled classes. Collaborate with internal teams and external partners to ensure smooth operations and timely delivery of materials and resources. Print, track, and ship class certificates and other class documentation. Receive, process, organize, and file/e-file final class paperwork. Enter and maintain logistics and inventory information accurately in the NetSuite ERP system. Monitor inventory levels and assist with maintaining an organized and efficient stockroom. Required Qualifications High school diploma or GED required. Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams. Strong attention to detail and a high standard of accuracy. Excellent organizational and time-management skills. Ability to effectively multitask, prioritize responsibilities, and meet deadlines. Strong problem-solving skills and the ability to identify practical solutions independently. Comfortable using computers and learning new software and technology systems. Strong verbal and written communication skills. Professional and courteous telephone and customer service skills. Ability to work independently and collaboratively as part of a team. Demonstrated integrity and discretion when handling confidential information. Bilingual English/Spanish skills are highly preferred. Physical Requirements Lift, carry, and move packages of various weights and sizes. Bend, sit, stand, and move as necessary to perform job responsibilities effectively. Work at a computer and monitor for extended periods. See and read materials at near and far distances.
