Medical Spa Office Manager
ConfidentialInfusions & Injections Medical Spa is seeking an experienced, highly organized Office Manager to take ownership of the day-to-day operations of our growing medical aesthetics and wellness practice. This is an ideal position for an experienced medical, dental, aesthetics, or professional office manager who enjoys being the person who keeps an office running exceptionally well , but is not looking for a traditional 40-hour workweek. Our Office Manager will work closely with our physician-owner and supervise/support our receptionist while coordinating the operational needs of a small clinical team. The goal of this position is simple: own the operational details so our physician and clinical providers can focus on patient care. What You'll Own You will be responsible for the daily operational health of the practice, including: Supervising and supporting reception/front-office operations Staff scheduling, attendance, PTO and coverage coordination Staff accountability and follow-through New-hire onboarding and training coordination Maintaining personnel, licensing and credentialing records Inventory management, par levels and routine purchasing Vendor relationships and facility needs Payroll and commission-report preparation Practice-management software administration Maintaining and implementing office policies and SOPs Monitoring completion of recurring operational tasks Coordinating events, promotions and practice projects Managing routine client-service concerns and resolving problems Preparing basic monthly operational/KPI reports for the owner Supporting implementation of new services and systems Identifying inefficiencies and recommending solutions You will not be expected to provide clinical care. Who We're Looking For We are especially interested in someone who has already successfully managed an office and understands how to take ownership rather than wait for instructions . The right person is: Experienced in office or practice management Exceptionally organized and dependable Comfortable supervising and coaching staff Professional in communication, presentation and judgment Comfortable handling sensitive employee and client matters discreetly Confident with technology and able to learn new systems Financially detail-oriented Comfortable creating structure, checklists and accountability Able to prioritize independently in a small-business environment Warm and personable while still willing to enforce expectations Someone who notices problems and follows them through to resolution Experience in medical aesthetics, healthcare, dental, dermatology, plastic surgery, wellness or another high-touch professional practice is strongly preferred. This Role May Be a Particularly Good Fit If... You've spent years developing strong administrative and management skills and are looking for a meaningful long-term position without returning to a 40+ hour workweek. This is not an entry-level management position. We are looking for someone who brings experience, sound judgment and confidence to the role. Our practice is small enough that your work will have an immediate impact, but established enough that there are meaningful systems, staff and operations for you to manage. Schedule Approximately 30 hours per week , primarily onsite in St. Helens. Consistent in-office availability is important during the first approximately 90 days while learning the practice, team and systems. After successful completion of the introductory period, some administrative hours may be eligible to be completed remotely , depending on the needs of the practice and demonstrated ability to manage responsibilities independently.
