Job Summary: The Medical Office Assistant will provide excellent customer service at our front desk operations and various support duties to our clinical team. The Office Assistant will work directly with healthcare practice staff to register and check-out all patients, collect samples, maintain patient records, explain common medical procedures, and assist in the overall success of our day. Travel may be required. Essential & Non-Essential Job Functions/Position Responsibilities: The Medical Office Assistant performs a wide range of duties, including, but not limited to the following: Register and/or check-out all patients for appointments. Collect co-payments and/or account balances Obtain updated demographics at each visit. Record patient information in OmniMD. Assist patients with obtaining MRI prior approvals. Assist patients with obtaining prior authorizations for medications. Assist patients with necessary forms at check-in or check-out. Work in the front office taking care of tasks such as answering phone calls, greeting patients as they enter office, and maintaining patient records. Assist the nurse and office manager in maintaining the medical inventory and placing orders for new materials as needed. Maintain patient confidentiality, complies with HIPAA and compliance guidelines established by the practice. Always practices good customer services in all situations. Occasional travel between offices is required for cross coverage of our patient locations. Other duties as assigned. Knowledge, Skills and Abilities Requirements: Commitment and demonstration of excellent internal and external customer service. Attention to detail, ability to lead and follow processes and procedures from beginning to end. Ability to demonstrate interpersonal and relationship-building. Ability to motivate and work collaboratively with staff. Strong analytical and organizational skills; ability to balance priorities, make effective decisions, and contribute as a team player within the organization. Ability to utilize data to inform the decision-making process. Demonstrate knowledge of and maintain the standards and requirements of the Health Insurance Portability and Accountability Act (HIPAA). Ensure the protection and security of personal, confidential and identifiable information in a professional and responsible manner and carry out all measures to prevent from unauthorized disclosures. Excellent written and verbal communication skills. Able to communicate information in an organized and clear manner. Able to maintain and demonstrate strict confidentiality of all information. Commitment to reflect quality assurance and risk management in daily tasks. Has computer skills and ability to learn/operate software programs. Maintains professional appearance and demonstrates professional attitude at all times. Ability to work flexible schedules and maintain punctual attendance. Able to work under pressure, remain calm, prioritize, and meet deadlines. Ability to relate to diverse communities. Ability to work as part of an interdependent team. Ability to remain open and non-judgmental towards colleagues and customers. High level of professionalism. Strong customer service skills. Inventory management experience. Minimum Education/Certifications: High School diploma or equivalent, required. Some college, preferred. CPR License preferred. Minimum Work Experience: Preferred 2+ years of experience working or a healthcare practice of hospital Highly proficient in Microsoft Office and knowledge working with Electronic Medical Records.
