POSITION SUMMARY The Materials Manager leads the surgery center's supply chain. The role owns purchasing, prime vendor and GPO relationship management, contract performance, inventory control, receiving, storage compliance, and supply cost management, and is accountable to the Administrator for supply availability, cost, and survey readiness. This is a non-clinical management position. The Materials Manager sets inventory policy and par levels, negotiates with vendors within delegated authority, leads value analysis with clinical leadership, manages the supply budget, and supervises materials staff. The role partners closely with the Director of Nursing, Medical Director, surgeons, and sterile processing so that the right product is available for every scheduled case at the lowest appropriate total cost. ESSENTIAL FUNCTIONS Supply Chain Strategy and Leadership Develop, implement, and maintain the center's materials management policies and procedures, including purchasing, receiving, storage, inventory control, expiration management, recalls, and implant/tissue tracking. Set annual supply chain goals with the Administrator, including costpercase targets, contract compliance, and inventory accuracy. Supervise, train, schedule, and evaluate materials staff; set daily priorities and ensure routine tasks (receiving, stocking, expiration checks, cycle counts) are completed on schedule. Serve as the materials management representative on center committees, such as quality/performance improvement, infection prevention, and value analysis. Purchasing and Prime Vendor Management Serve as the center's primary point of contact for the prime distributor (Medline Industries, LP) under the HealthTrust Purchasing Group commitment agreement. Maintain compliance with the contractual purchase commitment: at least 90% of the center's medical/surgical product requirements purchased through the prime distributor, excluding products available direct from the vendor. Apply the tiered distribution markup structure (Medline brand vs. nonbrand vs. pharmaceutical vs. suture/endo) when making product decisions, and identify conversion opportunities where a clinically equivalent product carries a lower total landed cost. Structure ordering schedules to stay above freefreight minimums and avoid expedite, breakdown (casetobox), and dropship fees; track use of annual waived emergencydelivery fees. Negotiate pricing and terms with nonprime and specialty vendors (implants, tissue, biologics, capital) within delegated authority; manage vendor onboarding, W9/COI collection, and pricing verification. Maintain the item master and pricing files; audit contract pricing against invoices. Contract Performance and Cost Recovery Track distributor fill rate monthly and pursue servicelevel credits owed when fill rate falls below the contractual threshold. Log late or offwindow deliveries and submit for the contractual peroccurrence delivery credit. Monitor backorders, escalate persistent shortages, and source clinically acceptable substitutions with clinical leadership before a case is affected. Prepare for and lead scheduled business reviews with the distributor; review the required reporting package (purchase history, fill rate, backorders, quality performance, shipping and handling spend) and hold the vendor accountable to it. Resolve pricing discrepancies, denied chargebacks, rebate issues, and invoice errors. Inventory Control and Storage Compliance Set, maintain, and periodically rebaseline par levels by storage area (sterile core, OR, PACU, bulk storage) and by procedure type. Oversee receiving, stocking, FIFO rotation, and expiration management; ensure expired and compromised product is removed and documented on schedule. Direct cycle counts and the annual physical inventory; reconcile to the general ledger with the Administrator.
