Materials Management Coordinator
Vista Surgery CenterPOSITION SUMMARY The Materials Management Coordinator maintains adequate, accurate, and well-organized surgical inventory to support the practice’s scheduled procedures, and provides general administrative and organizational support to surgical center operations. This entry-level position is responsible for receiving, stocking, rotating, and tracking surgical supplies, instruments, and equipment, and for flagging shortages or expiring items before they affect patient care. The role works under the direction of the Director of Nursing or designee and coordinates closely with clinical staff, surgeons’ offices, and outside vendors. Sound organization and attention to detail in this role directly support surgical scheduling and case readiness. ESSENTIAL FUNCTIONS Monitors surgical inventory levels and orders, receives, and stocks surgical supplies, instruments, and equipment to ensure adequate stock for scheduled procedures. Conducts regular physical inventory counts and reconciles counts against the inventory management system, identifying and resolving discrepancies. Inspects incoming shipments for accuracy, damage, and expiration dates before stocking, and rotates stock (firstin, firstout) to minimize expired or unusable supplies. Coordinates with clinical staff and surgeons’ offices to confirm casespecific supply and implant needs ahead of scheduled procedures. Processes purchase orders, tracks backorders, and communicates with vendors and distributors regarding pricing, availability, and delivery timing. Maintains organized, compliant storage of supplies in the supply room and sterile core, following manufacturer and infectioncontrol storage requirements. Provides general administrative and organizational support to surgical center operations, such as filing, data entry, and coordinating deliveries. Maintains regular and reliable attendance sufficient to meet the position’s operational, patientservice, and team obligations, with or without reasonable accommodation. MARGINAL / OCCASIONAL FUNCTIONS Assists with equipment maintenance tracking and coordinating vendor service visits. Provides backup frontoffice or scheduling support during staff absences, as needed. SUPERVISORY RESPONSIBILITIES None. This position does not directly supervise other employees. MINIMUM REQUIRED QUALIFICATIONS Education: High school diploma or equivalent required; no specific degree required. Experience: Required experience in surgical supplies, medical inventory, or a warehouse/stockroom in Perioperative area. Licensure/Certification: None required to enter the role. Knowledge/Skills: Basic knowledge of, or ability to quickly learn, surgical supplies, instruments, and inventory control practices; comfort with computerbased inventory or ordering systems; strong organizational skills and attention to detail; ability to follow infectioncontrol and storage protocols; clear communication with clinical staff and vendors. Other: Must be able to pass a background check as required for employment in a healthcare setting; must meet the facility’s immunization requirements for personnel with access to clinical supply areas. PREFERRED QUALIFICATIONS Experience as Surgical technician. Prior experience in a surgical center, hospital, or medical supply environment; familiarity with surgical instruments, implants, or sterile processing; experience with inventory management or materials management software.
