What’s a typical day as a Parts Materials Coordinator? You’ll be:
• Coordinating and organizing the daily end-to-end flow of service work orders for field and depot service teams, including assigning, prioritizing, and tracking service activities
• Effectively maintaining and overseeing parts inventory to ensure availability, timely fulfillment, and optimal stock levels
• Creating and managing purchase orders and sales orders for required parts
• Picking parts needed for customer repairs and coordinating parts deliveries with internal service teams and manufacturers
• Serving as the primary point of contact for service inquiries from customers, sales, sales operations, and service technicians
• Monitoring service progress to ensure quality service delivery and proper invoicing
• Maintaining detailed service repair records and tracking repair history and parts usage
• Conducting regular cycle counts and analyzing parts usage data to optimize inventory efficiency
This job might be an outstanding fit if you:
• Have proven experience managing an administrative/office environment with multifaceted, fast-paced responsibilities (1–3 years preferred)
• Have prior background in parts or inventory coordination (e.g., auto parts or similar depot/service parts roles)
• Possess strong organizational and time-management skills with the ability to manage multiple priorities simultaneously
• Demonstrate exceptional attention to detail and accuracy in order processing and documentation
• Have effective written and verbal communication skills for cross-functional collaboration
• Are proficient in Microsoft Office (Excel, Word, Outlook) and comfortable using ERP, ticketing, or inventory management systems
• Hold a High School Diploma or GED equivalent
