Material Coordinator

POSITION SUMMARY Ensure maintenance and repair work is accurately, completely, and consistently recorded in the ERP. Write service orders, document required parts and control the recording of parts moving from the warehouse to maintenance. ERP data integrity is the position’s primary focus. DUTIES AND RESPONSIBILITIES · Document reported problems and maintenance needs for trucks and equipment; create and update ERP work orders with the correct asset and department information. · Work with maintenance personnel to record required parts, work performed, and repair details; verify completeness before work orders are closed. · Monitor parts issued from the warehouse to maintenance and record the item, quantity, person removing it, date and time, and associated work order or asset. · Record parts usage and return in the ERP, allocate parts to the proper work order, and investigate undocumented or inconsistent parts movements with warehouse personnel. · Follow ERP data standards, obtain missing information, correct documentation errors, and provide timely maintenance service reports. · Escalate unresolved discrepancies, recurring documentation failures, and system issues to the ERP Data Steward and Maintenance Center Manager. SCOPE AND ACCOUNTABILITY The ERP Data Steward directs data standards, procedures, and documentation requirements. The Maintenance Center Manager establishes operational reporting needs. The Coordinator may request required information and return incomplete documentation for correction. Inventory support is limited to controlling and documenting parts movements between the warehouse and maintenance. Inventory management, purchasing, replenishment, receiving, stocking and physical counts remain with designated warehouse personnel. Performance Expectations Complete and accurate work orders; timely ERP entry and service reporting; traceable parts issues and returns; and prompt resolution or escalation of documentation discrepancies.
