Marketing and Operations Associate
Western Workforce Skills Training CentrePosition Summary The Marketing and Operations Associate supports the day-to-day operations of WWSTC while coordinating training schedules, trainers, participants and classroom logistics, marketing, communications, and promotional activities. The role contributes to the efficient delivery of training programs, supports organizational growth through brand awareness and stakeholder engagement, and assists with business development initiatives, partnerships, and client relations. The position provides coordination and administrative support across training logistics, marketing, operations, finance coordination, and stakeholder relations. Working collaboratively with internal teams and external partners, the Associate helps ensure smooth program delivery, responsive client service, and effective promotion and implementation of WWSTC’s programs and services. Key Responsibilities Operations Management Support the day-to-day operational activities across WWSTC programs Coordinate training schedules, classroom logistics, instructor assignments, and resource needs Assist in maintaining and improving operational systems, processes, and procedures Monitor program delivery and flag issues to ensure quality standards and compliance requirements are met Finance and Administration Coordinate invoicing, billing, accounts receivable tracking, and payment follow-ups Work closely with Finance to monitor budgets, expenditures, and training revenues Maintain operational records, contracts, reports, and documentation Support procurement and vendor management activities Training and Program Coordination Coordinate instructor recruitment, onboarding, scheduling, and contract administration Support program development, curriculum implementation, and training logistics Ensure training materials, equipment, certifications, and learner records are properly maintained Marketing and Communications Support the coordination of marketing campaigns, social media content, website updates, and promotional activities Assist with community outreach initiatives, employer engagement, and recruitment events Monitor marketing activities and engagement results and provide input on opportunities to strengthen outreach and program awareness Business Development and Partnerships Support the development and maintenance of relationships with employers, community organizations, Indigenous communities, educational institutions, and government-funded programs Assist in identifying potential business opportunities, training partnerships, and community collaborations Support proposal preparation, contract administration, and client relationship management Represent WWSTC at networking events, conferences, and community engagement activities as required Reporting and Strategic Support Prepare operational, financial, marketing, and business development reports Support organizational planning, growth initiatives, and continuous improvement efforts Provide recommendations to leadership regarding operational efficiencies and new opportunities Qualifications Bachelor's Degree in Marketing, Business Administration, Operations Management, Project Management, or a related field Minimum 3–5 years of experience in operations, administration, business development, project coordination, or a related role Demonstrated competency in Productivity & Office Suites: Microsoft 365 (Excel, Word, PowerPoint) or Google Workspace. Communication & Collaboration: Slack, Microsoft Teams, Database & CRM Tools: Salesforce, HubSpot, or enterprise resource planning (ERP) systems. Proficient in creative and marketing technologies, including graphic design platforms like Canva and digital asset management tools. Strong organizational, financial, and project management skills Excellent communication and stakeholder management abilities Experience with workforce development, training organizations, or post-secondary education is an asset Pay: $21.00-$23.00 per hour Expected hours: 40.0 per week Work Lo…
