Position Purpose & Overview

Reporting to the Director, Operations and Information Technology, the Manager, Facilities and Transportation is responsible for the safe, efficient, and effective operation of the school’s physical campus and transportation program.

This position ensures that St. John’s School’s buildings, systems, and grounds are maintained to the highest standards of safety, functionality, and appearance, supporting a positive learning and working environment.

The Manager provides day-to-day leadership for the facilities and transportation teams, including two Building Service Workers and four casual bus drivers, and manages outsourced service providers such as janitorial, landscaping, and trades.

This is a hands-on position — the incumbent is expected to actively perform maintenance, repair, and installation tasks alongside the team as needed, ensuring timely resolution of issues and continuity of campus operations.

Typical responsibilities and duties are inclusive of, but not limited to:

Facilities Operations and Maintenance

  • Oversee daily operation, maintenance, and repair of the school’s buildings, systems, and infrastructure.
  • Perform hands-on repair, maintenance, and installation work as required to support operational continuity.
  • Supervise and coordinate Building Service Workers in performing preventive maintenance, minor repairs, and small projects.
  • Schedule and oversee vendors and contractors for major repairs, inspections, and technical services.
  • Maintain accurate records of maintenance activities, inspections, and service contracts.
  • Monitor building systems (HVAC, plumbing, electrical, fire, and security) to ensure efficient, safe, and reliable operation.
  • Source and order approved furniture, fixtures, and equipment; coordinate deliveries and installations.
  • Manage utility consumption and identify opportunities for energy efficiency and sustainability improvements.

Vendor and Contract Management

  • Oversee the performance of third-party service providers, including janitorial, landscaping, pest control, and trades.
  • Conduct periodic inspections and review vendor performance against contractual standards.
  • Assist the Director with contract renewals, vendor selection, and procurement activities.
  • Maintain positive working relationships with contractors and regulatory inspectors.

Campus Security and Access

  • Manage and maintain the school’s physical security systems, including access control, alarms, and CCTV.
  • Oversee key and fob distribution processes, maintaining accurate tracking and documentation.
  • Retrieve and review security footage as required to support incident investigations.
  • Support the Director in managing campus safety protocols and emergency response readiness.

Transportation Operations

  • Supervise four casual bus drivers, including scheduling, performance, and adherence to safety and regulatory standards.
  • Oversee the daily operation of the school’s transportation program, ensuring reliable and safe service for students.
  • Communicates with parents and students regarding transportation services.
  • Coordinate vehicle maintenance, inspections, licensing, and insurance renewals.
  • Conduct or oversee safety and evacuation drills, maintaining required documentation.
  • Provide input to the Director on transportation policy, planning, and route optimization.

Event and Space Management

  • Coordinate furniture, equipment, and facility setups for school events, assemblies, and rentals.
  • Maintain an accurate inventory of school furniture and event equipment.
  • Ensure event logistics are completed on time and in accordance with school safety standards.
  • Support external facility rentals and third-party users, ensuring proper space use and supervision.

Health, Safety, and Compliance

  • Ensure all facilities and transportation operations comply with WorkSafeBC and applicable regulatory standards.
  • Conduct regular safety inspections and address hazards or deficiencies promptly.
  • Maintain emergency preparedness and first aid supplies, ensuring accessibility and readiness.
  • Participate as a member of the school’s Health and Safety Committee.
  • Support the Director in coordinating school-wide emergency drills and documentation.
  • Maintain WHMIS compliance and ensure Building Service Workers are properly trained in safety procedures.

Leadership and Supervision

  • Supervise and support direct reports.
  • Provide training, mentorship, and performance feedback to foster professional growth and accountability.
  • Promote a positive, service-oriented culture emphasizing teamwork and communication.
  • Manage scheduling, shift assignments, and daily workflow to ensure coverage and responsiveness.
  • Maintain a visible presence across campus to identify issues proactively and engage with staff constructively.




Required Qualifications and Key Skills

Education & Work Experience

  • Diploma, trade certification, or equivalent technical training in facilities management, building operations, or a related field
  • Minimum 5 years of experience in facilities or maintenance management, ideally in a school or institutional environment
  • Demonstrated ability to perform hands-on maintenance and repair work (mechanical, electrical, plumbing, or carpentry)
  • Proven leadership experience with small teams and external vendors
  • Knowledge of building systems, fire and life safety systems, and transportation safety regulations
  • Understanding of WorkSafeBC, WHMIS, and occupational safety requirements
  • Proficiency with maintenance management or work order tracking software
  • Valid Class 5 driver’s licence

  • The successful candidate will be required to complete child abuse prevention training, concussion training, Level 1 first-aid training provided by St. John’s School and provide consent for a criminal background check for the vulnerable sector.
