Position Overview: Maintenance Parts Coordinator (18 Month Contract Position) As the Maintenance Parts Coordinator at Crofters, you will be responsible for ensuring the Maintenance Team is fully supported through effective parts organization, inventory control, and procurement processes. This role is essential for maintaining a well-structured and efficient maintenance environment, with a strong focus on 5S principles and vendor accountability. You will ensure that every work order is set up for success by verifying that all required parts are listed and available before the work is initiated. This position reports directly to the Maintenance Manager and includes the following duties and responsibilities: General Responsibilities: Follow all GMPs, HACCP, and Health and Safety policies outlined by Crofter’s Organic. Set an example for all employees by working in a safe manner, abiding by all Health & Safety policies and procedures, and using proper PPE in the required areas of the plant. Maintain clean, organized, and clearly labeled mechanical and electrical parts storage areas. Follow and sustain a 5S organizational system; conduct regular audits to ensure compliance and continuous improvement. Kit parts by asset to support efficient work order completion and quick response during breakdowns. Monitor and maintain appropriate min/max inventory levels; perform regular cycle counts and reconcile discrepancies. Proactively order parts, especially long lead-time items, to ensure availability and avoid delays. Track warranty status and manage returns or replacements for defective or incorrect items. Ensure all parts-related documentation is accurate and up to date, including specifications, supplier details, and safety data. Generate purchase orders for required parts and maintain accurate expense records using the Maintenance & Repair (M&R) spreadsheet. Track all purchases against the annual budget allowance, ensuring spending remains within approved limits. Assist in developing and adhering to parts and costing KPIs to support financial planning and performance tracking. Identify cost-saving opportunities through vendor negotiations, bulk purchasing, and inventory optimization. Collaborate closely with the Maintenance Coordinator to ensure all work orders are properly set up with the correct parts listed and available before release. Support preventive maintenance planning by preparing kits and ensuring parts availability for scheduled tasks. Assist in sourcing and expediting critical parts during emergency breakdowns. Provide coverage for the Maintenance Coordinator during absences to ensure continuity of operations. Maintain strong relationships with vendors and hold them accountable for timely delivery, quality, and service.
