Maintenance Coordinator and Dispatcher

We run on Vantaca and use AI tools (HOAi) to handle routine questions, so our people can focus on the work that needs a human. Position overview Maintenance and repair is the biggest reason people contact us. In this role, you make sure every request turns into a real visit, on the right day, with the right tech, and gets documented so nobody has to ask "did that ever get done?" You'll work with our managers, our team of maintenance technicians (staff and contractors), and our vendors, with Vantaca and CompanyCam at the center of your day. Over time, once you've learned our industry, you'll also help keep techs busy on proactive projects when the work order queue is light, so 3.0 can take on more work for our associations. Key responsibilities Review maintenance requests in Vantaca and prioritize them by urgency Call technicians to schedule and direct them, and build daily and weekly schedules based on skills, urgency, location, and workload Cover call-outs and last-minute changes Coordinate homeowner access for maintenance requests, in partnership with the Support team Work with vendors on jobs beyond our techs' skills Keep managers, boards, homeowners, techs, and vendors informed, and follow up until the job is done and everyone is satisfied Keep everything documented in Vantaca, with CompanyCam photos and a closeout note on every job Report on maintenance work and provide the documentation needed to bill work back to associations Put technician safety first Qualifications 1+ year of dispatching, scheduling, or service coordination experience (property management, facilities, field service, or home services all count) High school diploma or GED Comfortable working in a ticketing or work order system all day, plus MS Office and Google tools Clear, warm, direct communication, including confident outbound phone calls Strong organization and the ability to reprioritize when the day goes sideways Comfortable working with AI tools Nice to have Experience with Vantaca, HOA / community association management, or CompanyCam Basic understanding of building systems (plumbing, electrical, HVAC) Benefits: Medical, dental, vision, and 401(k) Parking Pay: $21.00 - $29.00 per hour Expected hours: 40.0 per week Benefits: 401(k) Dental insurance Health insurance Paid time off Professional development assistance Retirement plan Vision insurance Work Location: In person
