POSITION SUMMARY The Logistics Specialist I supports daily mail, document processing, and facilities-related operations by accurately receiving, scanning, naming, filing, routing, and sending documents and correspondence. This role also assists with office logistics, supplies, and facilities requests while maintaining confidentiality and meeting firm and client deadlines in a fast-paced legal environment. ESSENTIAL DUTIES AND RESPONSIBILITIES The essential functions include, but are not limited to the following: Receive, sort, scan, name, file, and distribute incoming mail, faxes, attorney service documents, and other firm correspondence. Process outgoing mail, courier requests, signed court documents, and time-sensitive correspondence within firm and client deadlines. Assist with document processing, including copying, scanning, indexing, quality checking, and routing documents to the appropriate team or system. Support basic e-filing, document upload, client data import/export, and report handling as assigned. Maintain accurate records in firm systems, including document logs, mailing records, status updates, and related tracking tools. Assist with office logistics and facilities requests, including supplies, equipment needs, workroom organization, and general office support. Protect confidential information and follow all firm, client, regulatory, and department policies and procedures. Provide backup support to Logistics, Document Processing, Mailroom, and other operational teams as needed. Maintain regular time and attendance and perform other duties as assigned. MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES) High school diploma or GED required; two years of college or equivalent work experience preferred. Prior office, mailroom, document processing, or legal office experience preferred. Strong attention to detail and ability to follow written procedures accurately. Good oral and written communication skills and ability to work professionally with internal teams and outside parties. Ability to prioritize tasks, meet deadlines, and work in a fast-paced environment. Basic proficiency with Microsoft Office, database systems, scanners, copiers, and standard office equipment. Positive, dependable, and team-focused work approach. PHYSICAL DEMANDS AND WORK ENVIRONMENT Working conditions are normal for an office environment. This position involves sitting, standing, walking, bending, lifting, carrying, and moving mail, files, supplies, or office equipment within reasonable limits.
