The Role The Logistics Specialist is a highly organized and detail-oriented professional responsible for supporting Mach Industries’ domestic and international logistics operations. This role will coordinate the movement of hardware, materials, equipment, and demonstration assets across commercial, government, and military-related programs while ensuring shipments are executed safely, on time, and in compliance with applicable trade, transportation, and customer requirements. The ideal candidate is comfortable operating in a fast-paced defense startup environment, managing complex international shipments, working directly with freight forwarders and customs brokers, and supporting Business Development activities including tradeshows, demonstrations, and customer events. This position requires strong knowledge of shipping documentation, tariff classification, export/import processes, and defense-industry logistics requirements. Key Responsibilities Coordinate and execute domestic and international shipments by air, ocean, ground, and courier, including time-critical and high-value defense hardware. Manage end-to-end international logistics, including freight bookings, routing, pickup coordination, customs clearance, delivery tracking, and final-mile execution. Prepare and review commercial invoices, packing lists, bills of lading, air waybills, certificates of origin, shipper’s letters of instruction, and other import/export documentation. Determine and validate HTS/HS and Schedule B tariff classifications; support country-of-origin, valuation, duty, tax, and customs documentation requirements. Support export compliance activities involving ITAR, EAR, AES/EEI filings, Foreign Trade Regulations (FTR), export licenses, exemptions/exceptions, and recordkeeping requirements in coordination with Trade Compliance. Coordinate temporary exports and imports for Business Development demonstrations, tradeshows, customer events, field tests, and international deployments, including ATA Carnets and other temporary-import mechanisms when applicable. Partner with Business Development, Engineering, Program Management, Security, Trade Compliance, and Operations to develop logistics plans for events, demonstrations, and customer deliveries. Coordinate with freight forwarders, customs brokers, carriers, airlines, ocean carriers, and overseas agents to resolve transportation, documentation, and customs issues. Support packaging, preservation, labeling, and marking requirements for government and military shipments, including familiarity with applicable MIL-STD requirements such as MIL-STD-2073 and MIL-STD-129, as well as ASTM D3951 when contractually required. Ensure shipments comply with applicable hazardous materials and dangerous goods requirements, including 49 CFR, IATA/ICAO, and IMDG regulations, as applicable. Support government and defense contract logistics requirements, including familiarity with FAR, DFARS, ITAR, EAR, and customer-specific shipping instructions or contract clauses. Maintain shipment records, export/import documentation, proof of delivery, tracking data, and audit-ready files in accordance with company and regulatory retention requirements.
