Logistics Dispatch Coordinator – you will support and take an active role in leading the day-to-day inbound logistics operations. This role is critical in ensuring product moves efficiently, cost-effectively, and on time - while delivering a best-in-class experience for our customers and partners. This role plays a key part in ensuring inbound product flow supports our sales, inventory, and customer commitments. Hours: 6am to 3pm Monday through Friday; every other weekend/after-hours on call (will be discussed upon interview) Duties and Responsibilities: Transportation Coordination: Coordinate inbound produce shipments from vendors to Heartland facilities, ensuring products arrive on time, in good condition, and in support of customer commitments. Dispatching & Load Management: Schedule pickups, deliveries, appointments, and load consolidations while optimizing efficiency, service levels, and transportation costs. Carrier Management: Maintain professional relationships with carriers, negotiate freight rates, communicate shipment requirements, and monitor carrier performance. Shipment Tracking & Issue Resolution: Monitor shipments from pickup through delivery, proactively communicating delays, service issues, and other transportation challenges while identifying timely solutions. Cross-Functional Communication: Work closely with procurement, sales, warehouse receiving, quality control, and accounting teams to ensure smooth inbound product flow and operational alignment. Claims & Billing Administration: Assist with freight claims, shipment discrepancies, and freight invoice reviews to ensure accurate documentation and timely resolution. Data & System Management: Maintain accurate transportation records, shipment details, freight costs, carrier information, and supporting documentation within company systems. Continuous Improvement: Identify opportunities to improve transportation efficiency, reduce costs, strengthen service levels, and enhance departmental processes. Performance Reporting: Monitor and report key logistics performance indicators including freight costs, service levels, claims, and carrier performance. Relationship Building & Team Support: Build positive relationships with carriers, vendors, customers, and coworkers while supporting Heartland's commitment to service, accountability, and operational excellence. May be required to perform additional duties as needed Qualifications: Education: High School diploma or equivalent required – Associate or bachelor’s degree in supply chain, logistics or transportation preferred Experience: 3+ years of supply chain/logistics experience; produce or perishable goods experience preferred Communication Skills : Strong written and verbal communication skills with the ability to effectively communicate across multiple channels, including phone, email, and text. Customer Focus: Strong communication skills and a customer-first mindset. Organization & Prioritization : Ability to effectively prioritize tasks, manage multiple responsibilities, and perform well in a fast-paced, high-pressure environment. Critical Thinking: Strong analytical and problem-solving skills with the ability to investigate, identify, and resolve supply chain discrepancies and operational challenges. Attention to Detail: Demonstrated commitment to accuracy, quality, and thoroughness in all aspects of work.
