Position Summary The Logistics & Data Specialist is responsible for handling the logistics of products and associated data for ABS. The position requires that all shipping documentation is accurate, timely, and complies with all regulatory requirements. The Logistics & Data Specialist works closely with suppliers, couriers, clients, and the Biorepository Team to ensure smooth and efficient operations. Job Objectives Procure, create, organize, or update appropriate documentation Communicate with couriers regarding delays or projects Package products for shipments including airbills/labels Coordinating shipping of supplies to vendors Coordinate specialty orders including same-day courier coordination Blind shipment coordination Provide clients with order updates including email notifications, tracking information, and data packages Track outbound and inbound shipments via the various tracking dashboards Log discrepancies for packaging that do not comply and/or do not match the system notes Review and train on all ABS documentation that is relevant to job duties Complete fulfillment details accurately and timely Receive and manage incoming deliveries Data preparation: process incoming vendor sample data Create project- or tissue-specific reports for client projects Additional Duties and Responsibilities Answer the door to accept deliveries and visitors Inventory management (Logistics supplies) Ordering supplies from external vendors Keeping track of temperature monitoring devices Maintain the upkeep of documentation in our document control system Answer the door for visitors and vendors Upload delivery receipts and send shipping surveys Job Competencies Knowledge of systems used (logistics portals and software, document control, ERP database, LIMS) Ability to communicate efficiently and directly Basic understanding of our products and services Ability to follow and improve procedures Proficiency with computer systems Education & Experience Education: A high school diploma is required. Language Skills: The Logistics & Data Specialist must be fluent in English and possess excellent oral and written communication skills. All written communications should be grammatically correct without spelling errors. Mathematics Skills: A basic understanding of arithmetic and elementary algebra, such as calculation of percentages and the creation and interpretation of simple graphs is required. Computer Skills: The Logistics & Data Specialist must be able to search the internet independently to find necessary information to complete projects and tasks. The Logistics & Data Specialist must be completely proficient in the use of NetSuite functions relating to the process which they are being trained to do once trained at ABS. The Logistics & Data Specialist must be completely proficient in the use of FedEx Ship Manager software. Basic proficiency in Microsoft Office Suite is also required. The Logistics & Data Specialist must be able to coordinate email correspondence with internal and external parties. Working Conditions | Physical Requirements Requires lifting boxes of up to 60 lbs. Handling of dry ice Handling of human and/or animal biological materials Wearing PPE (lab coat, gloves, safety glasses, face shield) while packaging products Requires standing for long periods of time The job will be performed in a warehouse type space with concrete floors as well as in the individual’s office space The ability to work independently This is an onsite position. Working from home will only be permitted for very limited special circumstances and must be approved in advance.
