TOP WorldwideThe Logistics Coordinator is responsible for the day-to-day coordination, tracking, and execution of customer freight from pickup through delivery. This position works closely with Account Managers, carriers, Director of Operations, and other internal teams to ensure shipments are properly covered, tracked, communicated, and completed according to customer requirements. The Logistics Coordinator is a highly detail-oriented, proactive role that requires strong communication skills, urgency, accountability, and the ability to manage multiple shipments and priorities simultaneously. The ideal candidate understands that successful logistics is not simply about moving a load from Point A to Point B—it is about anticipating issues, communicating proactively, maintaining accurate information, and ensuring the customer experience remains consistent throughout the shipment lifecycle. Essential Responsibilities Load & Shipment Management Coordinate the day-to-day execution of assigned customer shipments. Review shipment details to ensure all required information is accurate and complete. Monitor loads from initial assignment through final delivery. Confirm pickup and delivery appointments, locations, requirements, and special instructions. Ensure carriers receive accurate and complete load information. Maintain accurate shipment status within the TMS. Identify and address discrepancies or missing information before they impact the shipment. Tracking & Tracing Proactively track all assigned shipments throughout the transportation lifecycle. Obtain and document pickup, transit, arrival, and delivery updates. Maintain current and accurate ETAs in the TMS. Follow up with carriers when required tracking updates are not received. Identify shipments that are falling behind schedule or outside customer expectations. Escalate delays, missed appointments, service failures, and other exceptions immediately. Ensure all tracking and tracing activity is completed throughout the week—not simply at the end of the week. Carrier Communication Maintain professional and consistent communication with assigned carriers. Confirm carrier acceptance, equipment, driver information, pickup details, and estimated arrival times. Follow up with carriers regarding late pickups, delays, missed check calls, and delivery issues. Coordinate with carrier contacts to resolve operational issues quickly. Document significant carrier communications and exceptions within the appropriate systems. Customer Service & Communication Support assigned Account Manager(s) by ensuring they have accurate, timely information regarding their customers' shipments. Provide proactive updates when shipments are delayed, at risk, or otherwise outside normal expectations. Communicate professionally with customers when assigned to do so. Ensure customer-specific requirements and procedures are followed. Help maintain a high level of service by identifying potential problems before they become customer complaints. Exception Management Monitor shipments for potential service failures. Immediately escalate: Missed pickups Missed deliveries Late arrivals Driver/carrier communication issues Equipment failures Appointment changes Route or transit delays Potential accessorial charges Damaged or refused freight Any other issue that may impact customer service Work with carriers and Account Managers to develop solutions when exceptions occur. Document all significant exceptions and resolutions. Documentation & TMS Accuracy Maintain accurate and timely information in the TMS. Ensure load statuses are updated as events occur. Enter appropriate notes regarding carrier communication, shipment status, exceptions, and resolutions. Verify required documentation is received and properly attached to the appropriate shipment.
