Logistics Coordinator
TBE LLCAbout the role We're searching for a Logistics & Purchasing Coordinator to keep our freight, purchasing, and service operations running smoothly. You'll book LTL freight, manage domestic and international purchase orders and vendor follow-ups, track inventory, field service and warranty issues, and keep our warehouse team and Director of Operations up to date. This is primarily about [80]% computer and phone work, and [20]% on the warehouse floor checking receiving, staging, and inventory. It's a great fit if you've worked as a logistics coordinator, purchasing assistant, or operations admin and like owning the details. What you'll do Freight & logistics Book LTL freight shipments, pickups, and deliveries with carriers Track shipments and handle delays, missed pickups, damages, and delivery exceptions Keep records of bookings, tracking numbers, and carrier details Purchasing & vendors Create and manage purchase orders, confirmations, and ETAs Follow up with vendors on availability, lead times, pricing, and backorders Catch discrepancies between POs, invoices, and received inventory Service issues Track customer issues involving damages, missing parts, warranty claims, and replacements Coordinate with vendors, technicians, and customer support until each case is resolved Escalate high-risk issues before they become chargebacks or cancellations Warehouse & inventory Coordinate daily with warehouse staff on receiving, shipping, staging, and order readiness Track which units are available, allocated, damaged, returned, or pending shipment Support inventory counts and report discrepancies Reporting Keep order, shipment, purchasing, and service trackers current by end of day Send daily or weekly updates to the Director of Operations, whom you'll report to Requirements 2+ years of experience in freight/logistics coordination, purchasing administration, or operations support Hands-on experience booking shipments or managing domestic and international purchase orders Comfortable in spreadsheets and at least one ERP, inventory, or order management system Able to work on-site full time in Hawthorne LTL freight experience Nice to have Experience with large-item products such as fitness equipment, furniture, or appliances Experience handling warranty or damage claims Familiarity with Shopify, Xero, or Salesforce About us Total Body Experts LLC is a leading provider of high-quality fitness equipment and servicing designed for residential & commercial use.
