Logistics Coordinator

Job Summary Willandale Golf Cart Sales is seeking an experienced, organized, and motivated Transportation & Logistics Manager to oversee our daily transportation and dispatch operations. We operate a fleet of semi-trucks and smaller delivery vehicles, transporting golf carts and equipment to customers and locations throughout the country. We are looking for someone who can take ownership of our transportation schedule, maximize truck utilization, identify cost-saving opportunities, and coordinate logistics across multiple departments. The ideal candidate is a proactive problem-solver who can anticipate challenges, make sound decisions independently, and keep our transportation operations running efficiently with minimal oversight. Key Responsibilities Transportation Planning & Dispatch Manage daily and long-term transportation schedules for approximately 10–15 company trucks. Coordinate deliveries and pickups for semi-trucks and smaller delivery vehicles. Consolidate deliveries and pickups to maximize truck capacity, reduce empty miles, and minimize transportation costs. Coordinate transportation requests from multiple departments into one efficient schedule. Assign appropriate trucks and trailers based on load requirements, availability, and destination. Plan routes with consideration for mileage, travel times, delivery requirements, and driver availability. Maintain a forward-looking transportation schedule and proactively identify scheduling conflicts. Driver Coordination & Communication Serve as the primary point of contact for drivers regarding routes, schedules, and delivery instructions. Provide complete delivery information, including customer contacts, addresses, loading requirements, and site-specific instructions. Review delivery locations using maps and satellite imagery to identify potential truck access challenges. Communicate scheduling changes promptly to drivers and internal departments. Resolve transportation issues and unexpected delivery challenges as they arise. Ensure drivers have the information necessary to complete their assignments independently. Shipping Documentation & Billing Prepare and manage bills of lading (BOLs) for outgoing shipments. Collect, verify, and organize completed shipping paperwork. Maintain accurate shipment records, including customer information, load numbers, and supporting documents. Coordinate freight documentation and communication with manufacturers and other business partners. Prepare freight invoices and submit supporting documentation through designated billing systems. Track completed shipments to ensure accurate and timely billing. Third-Party Transportation Coordinate shipments with outside trucking companies and contracted carriers. Schedule outside transportation when internal fleet capacity is insufficient. Verify third-party freight invoices and resolve billing discrepancies. Evaluate transportation costs and identify opportunities to reduce outside freight expenses. Operational Improvement Continuously evaluate routes, truck utilization, and transportation costs. Identify opportunities to combine shipments, reduce unnecessary trips, and improve efficiency. Establish organized, repeatable processes for dispatching and shipment tracking. Work closely with sales, rentals, service, and other departments to meet transportation needs. Monitor operational performance and recommend improvements. Qualifications Preferred: Strong organizational skills and the ability to manage multiple priorities. Ability to plan efficient routes and recognize opportunities to consolidate shipments. Excellent communication and problem-solving skills. Strong attention to detail and follow-through. Comfortable using computers, mapping applications, and spreadsheets Ability to work independently and take ownership of daily operations.
