Southwest Ranches Farmers MarketLogistics & Dispatch Manager Southwest Ranches Farmers Market (SWRFM) Employment Type: Full-Time Salary Position Overview The Logistics & Dispatch Manager is responsible for overseeing all fulfillment, dispatch, transportation, and delivery operations for Southwest Ranches Farmers Market. This position ensures that customer orders, CSA memberships, delivery memberships, in-store pick-ups, and route deliveries are fulfilled accurately, on time, and efficiently. This role serves as the operational command center for all logistics activities while maintaining high standards of customer service, inventory accuracy, driver accountability, and cost control. Key Responsibilities Driver & Fleet Management Supervise and manage all company drivers. Prepare weekly driver schedules and route assignments. Ensure driver professionalism, punctuality, and compliance with company policies. Monitor driver performance, productivity, and route execution. Serve as the primary point of contact for drivers during deliveries. Oversee company vehicles, ensuring cleanliness, maintenance, fueling, and operational readiness. Coordinate preventative maintenance and vehicle inspections. Maintain vehicle logs, insurance, and registration records. Route Planning & Dispatch Plan, dispatch, and optimize all delivery and pick-up routes. Manage the following recurring routes: North Route – Fridays South Route – Saturdays South-East Route – Fridays Naples Route – First Saturday of each month Maximize route efficiency by balancing time, mileage, labor, and capacity. Monitor daily route performance and adjust schedules as business needs change. Resolve delivery issues and reroute drivers when necessary. Ensure all scheduled deliveries and pick-ups are completed accurately and on time. Order & Inventory Fulfillment Oversee all online and delivery orders. Enforce the weekly order cutoff deadline (Tuesday at 12:00 PM). Verify order quantities and accuracy before fulfillment. Coordinate inventory availability with purchasing, vendors, and store teams. Prevent overselling and inventory shortages. Ensure all orders are packed, labeled, staged, and organized by delivery route. Maintain inventory accuracy throughout the fulfillment process. CSA & Membership Programs Manage all CSA and Delivery Membership programs. Ensure recurring orders are fulfilled accurately each week. Maintain customer preferences, substitutions, and special requests. Coordinate skipped deliveries, vacation holds, and membership updates. Ensure a consistent, high-quality member experience. In-Store & Route Pick-Up Operations Coordinate all customer pick-up locations and schedules. Prepare accurate pick-up manifests by route and location. Ensure smooth and organized hand-offs for all customer pick-ups. Verify completion of all deliveries and pick-ups daily. Maintain communication with store teams regarding order readiness. Customer Service Serve as the primary contact for logistics-related customer concerns. Resolve delivery delays, missing items, damaged products, and order discrepancies. Communicate professionally with customers regarding delivery updates. Identify recurring service issues and implement corrective actions to improve the customer experience. Reporting & Operational Performance Monitor route efficiency, delivery accuracy, labor productivity, and transportation costs. Prepare weekly and monthly operational reports for leadership. Track key performance indicators (KPIs), including: On-time delivery percentage Order accuracy Delivery cost per order Driver productivity Customer satisfaction Identify operational improvement opportunities and recommend solutions. Develop and maintain Standard Operating Procedures (SOPs). Support leadership with logistics planning and business growth initiatives.
