The Load Planner owns both the operational and the sales work for a book of assigned customers within the Operations department. The role keeps freight moving for customers (load entry, scheduling, and sourcing) and grows the customer base through active sales work: prospecting, cold outreach, developing existing accounts, and winning new customers. The Load Planner follows the processes, goals, and guidelines set by the Manager of Operations. Key ResponsibilitiesOperational Own a book of assigned customers. Enter and schedule loads for assigned customers in the transportation management system (TMS). Maintain customer notes and perform accurate data entry. Handle locate work: enter new locations, shippers, and receivers (shipper and consignee codes) into the system. Broker loads not covered by the company fleet: post the load, work with approved outside carriers, negotiate carrier pricing, and meet margin requirements. Keep an up-to-date calendar at all times. Take day-to-day operational coaching from the Account Lead, including periodic review of customer communications for quality and consistency. Sales Develop assigned customers: maintain relationships, grow volume, and identify new lanes and opportunities. Prospect and conduct cold outreach to bring in new customers. Call, visit, and video-call both assigned and prospective customers. Win new business and onboard new customers into the system. Build customer profile packages (customer-specific information, materials, and onboarding packets) for assigned accounts. Resolve customer issues within normal scope and escalate to the Account Lead when an issue falls outside normal scope or requires oversight. Respond to customers on capacity commitments and provide updates on loads in progress. Quote and handle small bids for assigned accounts using the appropriate rate method (CWT plus fuel, all-in, or flat rate plus fuel). Escalate mid-sized to large bids (10+ lanes, Excel format) to the Account Lead. Other Follow all guidelines, policies, and processes set by the Manager of Operations. Qualifications Experience in freight brokerage, logistics, transportation, or a related customer-facing operations role preferred. Comfortable with both operational execution and active sales, including prospecting and cold outreach. Ability to negotiate carrier pricing and manage to margin requirements. Strong attention to detail and accuracy in data entry and scheduling. Clear, professional communication by phone, email, video, and in person. Highly organized, with sound judgment about when to act independently and when to escalate. Proficiency with Microsoft 365; TMS experience is a plus.
