The Position

The Legal Operations Coordinator is a multifaceted role responsible for overseeing internal legal operational activities and managing relations with external legal and IP service providers. Operating in a fast-paced and demanding environment, this position plays a critical role in supporting corporate governance and enhancing legal processes and procedures.


Key Responsibilities

The main responsibilities of this position include:

Legal & Corporate Governance Support

  • Prepare, edit, and format legal and management documents and reports with a high level of accuracy and professionalism.
  • Prepare, review, and manage a variety of legal documents, including NDAs, agreements, contracts and general legal correspondence.
  • Review and identify key terms and information within contracts, maintaining accurate and organized records.
  • Prepare summaries of key contracts and agreements to support internal stakeholders and executive decision-making.
  • Oversee corporate governance of Mara’s corporate structure, including maintaining corporate documents and minute books, preparing shareholder and director resolutions, and coordinating shareholder and director activities.

Legal Operations & Process Improvement

  • Develop, implement, and maintain a contract tracking and management system to improve visibility, organization, and compliance.
  • Support efforts to internalize legal work traditionally handled by external firms.
  • Assist with patent and trademark processes, including coordination, research, and documentation.
  • Organize, reorganize, and maintain an internal document management system to improve accessibility and compliance.
  • Create and maintain structured reference tools and resources for efficient access to legal, corporate, and operational information.
  • Ensure accuracy, consistency, and proper version control of corporate and legal documentation.

 

Required Skills and Experience

Must Have

  • 10+ years experience in legal administration, paralegal work, or a similar role.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Excellent attention to detail, particularly in document preparation and review.
  • Strong communication and interpersonal skills.
  • Ability to work effectively in a high-paced, high-demand environment.
  • Proficiency in managing confidential information with discretion.
  • Experience with corporate records, document management systems, and administrative processes.
  • Experience supporting corporate governance and legal processes.
  • Prior experience working with multi-entity corporate structures.

Nice to Have

  • Familiarity with intellectual property processes (patents and trademarks).
  • Experience reducing reliance on external legal counsel by supporting internal legal work.
