Lead Parts Operations Specialist

JOB SUMMARY The Lead Parts Operations Specialist manages key parts decisions for Waev's dealer network, including inventory planning, warranty determinations, and return and credit approvals. This role uses independent judgment on decisions that directly affect parts availability, cost, and dealer relationships, and is responsible for improving the processes, workflows, and practices of the Parts Operations team. This individual serves as the senior resource for the team, leads onboarding and training for new hires, resolves escalated dealer issues, and works closely with cross-functional departments to improve operational efficiency and service to the dealer network. ESSENTIAL DUTIESRESPONSIBILITIES Plan parts inventory by analyzing demand, usage trends, and dealer needs; determine stocking levels and decide what to stock, reorder, or phase out. Review dealer claims and determine whether each is covered under warranty, approved for return or credit, or resolved another way. Approve returns, credits, and exceptions to standard policy independently, weighing cost to the company against dealer relationships. Resolve escalated dealer complaints and complex issues independently, from investigation through final resolution. Analyze recurring issues and trends to identify root causes, then develop and implement solutions that improve cost, accuracy, and service. Lead process improvements and automation; create and update departmental procedures and communicate changes to the team. Restructure and organize the PartsAccessories knowledge base. Identify gaps in information and processes caused by fragmented data sources, and develop solutions with the team and leadership. Train and guide team members, serve as the senior resource on processes and systems, and lead onboarding for new hires. Collaborate with cross-functional teams to resolve complex issues and streamline operations. Process parts orders, quotes, and dealer requests as needed and ensure accuracy across the team. KEY ABILITIES Use sound independent judgment on inventory, warranty, return, and credit decisions with significant financial impact. Analyze data and trends to make inventory and operational decisions. Identify inefficiencies and proactively develop and implement practical solutions. Demonstrate initiative, accountability, and follow-through from problem identification through resolution. Communicate clearly, document processes, and effectively train and support team members. Collaborate cross-functionally, adapt to changing priorities, and balance improvement work with dealer service needs. Manage competing priorities independently while maintaining accuracy, organization, and attention to detail. SKILLSKNOWLEDGE 5+ years of experience in parts operations, inventory planning, warranty administration, order management, or a related field. Demonstrated experience making independent inventory, warranty, or return decisions. Demonstrated ability to identify process inefficiencies, develop solutions, and implement continuous improvements.
