Jewelry Project Coordinator

We are a fast-paced, luxury jewelry boutique searching for a team member to assist the sales team with prompt support and consistent coordination across a multitude of jewelry sales projects, custom orders, and repair projects. Primary Duties: Project coordination, with an emphasis on deadline-driven tasks and milestones Strategic & dynamic task prioritization, mindful of client needs, vendor operation hours, shipping cutoffs, employee coverage, etc. Meticulous and organized note-taking of important action items and discussion points garnered from observation of in-person and online client and vendor communications Streamlining, systemizing, and documenting procedures and templates for repetitive tasks and workflows Monitoring all channels of communication with vendors and clients (email, text, phone, etc.) Coordinating with all team members including sales, inventory, procurement, accounting, operations, and marketing with clear and constant communication Interacting with vendors and clientele with the utmost professionalism, while deeply listening and always keeping the goals of the boutique top-of-mind Efficient and functional organization of physical & digital materials Performing all of the above tasks and more in a fast-paced environment with speed, efficiency, a positive demeanor, and poise Success in this role requires: Highest level of integrity, transparency, honesty, and work ethic Proven extraordinary level of attention to detail Work style that is methodical, intuitive, quick, and driven Excellent memory recall supplemented by organized and searchable notes Proactive behavior with the discernment to ask questions for guidance Sharply honed observation and listening skills Expert at multi-tasking (i.e. listening & observing while performing a separate task) Robust organization skills, including both physical & digital organization Fast thinking & fast acting with the ability to regulate pace when deep thinking and/or caution is required Grounded & practical mindset with superb common sense and critical thinking ability Excellent and elegant written & verbal communication skills Advanced use of technology, including knowledge of Mac OS, Google Suite, Office & more, plus the ability to learn and teach new programs quickly Highest level of discretion to protect sensitive data and client information Awareness of surroundings and ability to work within a high security environment Desire to provide the utmost level of support and service Professionalism and polished personal presentation Other Qualifications: Must be over 21 High school diploma or equivalent required College coursework is preferred Experience supporting project managers and/or executives is required Ability to work Tuesday through Saturday is required Ability and willingness to work overtime is required (overtime is compensated) Experience in the jewelry industry is a plus Must be able to sit and stand for prolonged periods, bend, kneel, and lift up to 30lbs Job Type: Full-time Pay: $29.00 - $35.00 per hour Benefits: 401(k) 401(k) matching Employee discount Health insurance Paid time off Vision insurance Compensation Package: Bonus opportunities Hourly pay Overtime pay Profit sharing Yearly bonus Work Location: In person
