General Description

This position assists in the proper requisition, receipt, storage, inventory control, issuance, and record keeping operations of authorized supplies and materials according to established procedures.

Essential Job Functions

  • Procurement of parts, materials and supplies for the department according to City policies and procedures.
  • Maintains and develops procedures for storage, labeling and distribution of tools, parts, materials and supplies.
  • Receives requests from staff, researches and determines the most appropriate procurement method, including ensuring requests for supplies, parts and materials are in compliance with the City's purchasing guidelines and Procurement Code.
  • Researches vendors, current catalogs, and online sources to determine the most competitive pricing for parts and equipment to be purchased, including discussing supply needs.
  • Verifies receipt and condition of incoming shipments, including verifying packing slips, quantity and quality of items received.
  • Handles returns and outgoing shipments.
  • Prepares and maintains accurate inventory records, reports, forms and other required documentation, including participating in annual physical inventory.
  • Reconcile inventory discrepancies.
  • Performs general organization and cleanup of warehouse facility.
  • Distributes appropriate parts to field crews.
  • Assists in monitoring expenditures throughout the year.
  • Assist with the preparation of departments budget, including data entry, compiling back-up data, and producing budget documents for submittal.
  • Provides back-up functions to all operational areas within the division.

Knowledge/Skills/Abilities

  • Knowledge of infrastructure and equipment in order to identify major components and their function.
  • Knowledge of warehouse/inventory procedures used in the ordering, receiving, storing, controlling and cataloging of materials.
  • Ability to read and interpret a variety of vendor catalogs; and order supplies within established procedures.
  • Ability to operate a forklift and other warehouse equipment.
  • Ability to assist in field operations duties.
  • Knowledge of the operation and maintenance of warehouse equipment, including maintaining tools and equipment in a safe and working condition.
  • Knowledge of occupational hazards and safety precautions.
  • Ability to use computer software (Word, Excel, etc.) and enter data accurately from a wide variety of source documents.
  • Good written and oral communication skills; ability to follow written and oral instructions.
  • Ability to plan, organize and use mature judgment in evaluating situations and making decisions in accordance with established policy.
  • Ability to establish and maintain effective working relationships with City officials, other employees and the general public.

Education, Experience, Licenses and Certifications

  • Graduation from high school or possession of an acceptable equivalency diploma.
  • Two (2) years of experience in field operations and/or warehouse work.
 
(A comparable amount of relevant training, education and/or experience may be substituted for the above qualifications.)
 
Licenses and Certifications:
  • Possession of or ability to obtain a valid Florida driver's license by date of hire.


Emergency Response Responsibility

Every City employee has emergency response responsibilities, though not every position will require routine assignments during an emergency event.  All employees are subject to recall around the clock for emergency response operations, which may require irregular work hours, work at locations other than the normal work location, and may include duties other than those specified in the employee's official job description. Assignments in support of emergency operations may be extensive in nature, with little advance notice, and may require employees to relocate to emergency sites with physically and operationally challenging conditions.
