An employee may be requested to perform other duties assigned within the scope of responsibility and requirements of the job. Definition Receives, inventories, and maintains records of the County’s capital assets and accountable inventory. Work is performed under general supervision and requires judgment and initiative. Cross-trains with the Mail Clerk and Purchasing Assistant. Examples of Important Responsibilities and Duties — may include, but are not limited to, the following: · Tags and maintains records of new capital assets (> $5,000). · Tags and maintains records of “accountable” inventory (< $5,000). · Tracks capital asset purchases from order through receipt and inventory. · Conducts annual inventory of capital assets and accountable inventory. · Compiles, verifies, and reviews annual reports of the equipment inventory of each county department in compliance with current processes, relevant Local Government Code, and County policy. · Communicates in a collaborative manner with County department staff members both verbally and in writing on matters relating to inventory records and assets. · Performs data entry and maintains records of new equipment, updates, changes and transfers in the inventory system. · Conducts online auctions of surplus County property. · Cross-trains as backup to the Mail Clerk and performs mailroom duties as assigned, including operation of postal equipment. · Cross-trains as backup to the Purchasing Assistant and performs purchasing duties as assigned, including processing requisitions and purchase orders. · Maintain confidentiality in all aspects, including conversations that occur in the Purchasing Department. Qualifications Knowledge of or ability to learn inventory management practices and asset-control procedures. Proficiency with computers and business software, including spreadsheets, word processing, email, ERP, purchasing, and inventory systems. Ability to: · Comprehend, analyze, and apply inventory and purchasing policies and procedures. · Communicate clearly and concisely, both orally and in writing. · Establish and maintain effective working relationships with those contacted in the course of work. · Plan, organize, and conduct County inventory in coordination with County departments and officials. · Plan, organize, and conduct online auctions of surplus inventory. · Identify, locate, inspect, and verify County assets and accountable inventory at various County facilities. · Learn and effectively use ERP, purchasing, inventory, auction, and related software. · Maintain a high degree of accuracy, organization, attention to detail, and follow-through. · Work with accounting and financial data. · Work independently and with others. Desired Experience: Two (2) years of experience in inventory management, asset management, procurement, or a related field is preferred. Relevant education, training, or other experience may be considered. Other Requirements: · High School diploma or equivalency. · Must meet qualifications to be bonded. · Possess and maintain a valid driver's license and be able to operate a motor vehicle in the performance of assigned duties. · Maintain appropriate personal hygiene and grooming to ensure a clean and professional workplace and to avoid personal odors. Working Conditions Environmental Conditions: Work is performed in an office environment and throughout County facilities. Duties include regular exposure to computer screens and may involve warehouses, storage areas, equipment rooms, and other locations where County property is maintained.
