Inventory Specialist / Accounts Payable Clerk

Job Summary Are you a detail-oriented professional with a strong mix of inventory and accounts payable experience? We are based in Waukegan, IL, looking for a full-time Inventory Specialist / Accounts Payable Clerk to join our team. This is a 100% on-site role that serves as a critical bridge between our warehouse supply chain operations and our finance department. Your primary focus will be keeping our inventory levels 100% accurate through routine system reconciliations and physical counting, while managing the three-way matching and processing of vendor invoices. What You Will Do: · Inventory Reconciliation: Audit and reconcile daily inventory balances in our ERP system against warehouse data, adjusting for damages, returns, or processing variances. · Cycle Counting Support: Actively coordinate and participate in physical cycle counts alongside the warehouse team; research and resolve any discrepancies between physical stock and the ledger. · Three-Way Matching: Match vendor invoices against purchase orders and warehouse receiving slips to verify accurate line-item pricing and quantities before payment. · Accounts Payable Entry: Code, verify, and post incoming supplier invoices into our system with correct General Ledger (GL) allocations. · Resolve Variances: Research and resolve billing, quantity, or shipping discrepancies by communicating professionally with suppliers and internal teams. · General Accounting Support: Help the accounting team with weekly vendor statement reconciliations, expense tracking, and administrative month-end close tasks. What We Are Looking For: · Experience: 2+ years of experience working in inventory control, purchasing, warehouse operations, or Accounts Payable within a distribution, wholesale, or logistics environment. · Accounting Knowledge: A solid understanding of invoice processing, purchase orders, and basic accounting workflows is highly valued. · Software Skills: Comfortable using Microsoft Excel for basic data entry, sorting, filtering, and simple math formulas. · ERP Familiarity: Experience with Acumatica is a huge plus , but not required. We will train candidates who have strong experience using similar systems like NetSuite, SAP, Sage, or QuickBooks. · Traits: Incredible attention to detail, strong 10-key data entry skills, and clear verbal/written communication skills.
