Position Summary: The Inventory Specialist position plays a key role in supporting YES Communities’ manufactured home inventory operations by ensuring homes are acquired, placed, and managed in compliance with legal, regulatory, and budget requirements. The role applies independent judgment to evaluate home intakes, resolve exceptions, and address complex issues involving manufacturers, vendors, and community teams. By partnering closely with field leadership and corporate stakeholders, this position helps maintain accurate inventory records, supports sound financial and operational decisions, and contributes to consistent, compliant, and efficient home inventory practices across the YES Communities’ operations. Key Responsibilities: Review new home orders that have passed Financial Planning & Analysis approval to ensure alignment with the approved annual budget; analyze exceptions and collaborate with management to determine appropriate actions for orders that fall outside budget parameters, including order postponement, cancellation, or budget adjustment proposals. Audit invoices for new home orders to ensure accuracy and alignment with original quoted amounts; evaluate variances and identify, investigate, and resolve discrepancies as needed. Provide guidance and consultation on home removals, evaluate used home intakes, and support decision-making by reviewing and assessing new home budget estimates in comparison to actual costs. Serve as the primary point of contact for resolving complex logistics-related issues between manufacturers and field leadership. Collect and analyze relevant data and documentation to support home demolition recommendations and present professional assessments and findings to leadership for decision-making. Participate in short and long-term organizational planning through regular meetings, including monthly team meetings and quarterly goal-setting sessions; contribute to the development, documentation, and continuous improvement of internal processes. Support field teams in understanding and meeting intake criteria by clearly communicating the rationale and compliance implications when a home intake is rejected due to missing documentation or unmet requirements. Support field teams in achieving full compliance with intake, documentation, and regulatory requirements through guidance, consultation, and problem resolution. Interpret company policies and applicable regulations to confirm all legal requirements for home ownership are met; apply independent judgment and discretion to exercise authority to decline home intakes when requirements are not satisfied. In defined situations, such as reports of unprofessional conduct by manufacturers or drivers, exercise judgment to communicate concerns directly with the manufacturer and collaborate on resolution. Coordinate next steps when homes are delivered damaged, working with manufacturers or vendors to determine appropriate remedies, responsibilities, and timelines. Manage federal HUD reporting by collecting required documentation and advising Community Managers to ensure accurate and timely completion and submission.
