Inventory & Receiving Specialist
Signature Products GroupDescription: The Inventory & Receiving Specialist owns the accuracy of SPG's inventory from the time product leaves the factory until it is received, counted, and valued in Sage. The role posts every inbound receipt at landed cost, keeps on-hand quantities in sync with our third-party warehouses through daily reconciliation and cycle counts, and moves inventory between warehouses, reserves, and rework so Demand Planning, Sales, and Accounting can trust the numbers. It is the day-to-day link between SPG, our freight forwarder, and our warehouse partners. Key Responsibilities Track inbound shipments from factory to warehouse: monitor arrival dates, update status on the late-shipment report, and chase packing lists, commercial invoices, and broker details so freight clears customs and delivers on time. Receive inbound product in Sage against the purchase order and packing slip, in the correct warehouse, and send the receiver to EDI, Demand Planning, and Accounting the same day. Record landed cost on every receipt (tariff, duty, freight, and commission), confirm vendor invoice amounts match the purchase order, and submit landed cost worksheets, shipping documents, and freight bills to Accounting; maintain raw-material and cost-tier adjustments so inventory is valued correctly. Reconcile the 3PL's daily inbound and adjustment reports against Sage; investigate shortages, overages, and mis-receipts with the warehouse and the vendor, and resolve discrepancies at the source. Run the cycle count program with the 3PL: review count sheets, post adjustment batches in Sage, and keep inventory audit-ready; support the annual physical inventory and audit. Post inventory transactions in Sage, including warehouse transfers, reserve allocations for customer programs, adjustments, write-offs, and negative-inventory corrections, each with a clear audit trail. Coordinate rework and value-added work orders with the 3PL (relabeling, dual-language tags, repacks) from work order through completed transfer. Coordinate domestic and cross boarder freight shipments with freight carriers, arranging and providing documentation and support for customs clearance. Process customer returns and RMAs: receive, disposition, and post returned product. Prepare and correct commercial invoices and packing documentation for cross-border shipments (US to Canada) and international sample shipments. Prioritize inbound receipts with the 3PL for urgent customer orders and communicate expected receipt dates to Demand Planning and Sales. Complete the month-end receiving and returns close with Accounting, including the monthly summary of shipments and sales orders adjusted. Review freight-forwarder and warehouse charges (detention, demurrage, handling) for accuracy and flag recurring issues. Document receiving and inventory procedures and improve or automate repetitive steps. Requirements: Requirements Required Qualifications: Experience in inventory control, receiving, or warehouse operations in a wholesale, distribution, or consumer products environment. Hands-on experience posting inventory transactions in an ERP system (receipts, transfers, adjustments, returns). Strong Excel skills: lookups, pivot tables, and reconciling two data sets. High attention to detail and accuracy; comfortable owning numbers that Accounting and Sales rely on. Clear written communication with warehouse partners, freight forwarders, factories, and internal teams. Ability to prioritize across many shipments and partners, work independently, and resolve issues the same day. High school diploma or GED. Preferred Qualifications: Sage 500 ERP (or a similar mid-market ERP) inventory and purchasing modules. Experience working with third-party logistics (3PL) warehouses and a freight forwarder. Familiarity with import documentation and landed cost (commercial invoices, packing lists, HTS/tariff, duty, freight). Coursework or a degree in supply chain, logistics, or business.
