JacobsonsInventory & Receiving Coordinator Reports to: Senior Management Team Key holder: Yes Role summary The Inventory & Receiving Coordinator keeps product and supplies moving smoothly from order to shelf. This role works closely with our team to coordinate the receiving and stocking of all inbound shipments, manage ordering for back-of-house materials and assigned product lines as required, keep our ambient, fresh and frozen storage spaces organised, oversee product rotation and expiry dates, and help keep our shelves, fridges and freezers full and well presented. Their work directly protects product quality, reduces waste and makes sure customers always find what they came for. Key responsibilities Receiving Coordinate each days’ expected inbound deliveries. Consult with the appropriate manager for particulars and instructions surrounding the needs of each delivery. Receive shipments and check them against purchase orders and invoices for accuracy, quantity and condition. Document and report shortages, damages and discrepancies promptly to the appropriate manager or office administration. Make sure temperature sensitive products are checked and moved into proper storage right away. Ensure cardboard and any garbage is well organized and disposed of throughout the day Ordering At the request of the Back of House Manager, place orders for back-of-house materials, including packaging, bags, labels, cleaning and sanitation supplies, and other operational essentials. Maintain par levels for supplies and assigned products to prevent shortages and overstock. Keep accurate records of orders placed and reconcile them against deliveries and invoices. Back-of-house organization In coordination with the Back of House manager and the Procurement & Purchasing manager, maintain clean, safe and logically organised storage for ambient, fresh and frozen products, and general supplies. Hardgoods organization may also fall under this purview. Clearly label and arrange stock so any team member can find items quickly. Inventory, rotation and expiry management Apply first in, first out (FIFO) rotation across all storage areas and the retail floor. Work in close collaboration with all team members to run regular expiry date checks, and flag short dated products for markdown, sampling or removal. Track and record waste, spoilage and shrink. Support stock counts and keep inventory records accurate. Work in close support of the stocking team to maintain optimal floor stock levels, share restocking needs, low stock alerts and ordering recommendations with the Senior Management Team. Retail floor support Help stock and maintain well appointed shelves, fridges and freezers. Keep facings neat, full and correctly priced. Work with the Floor Supervisor and Service Lead on displays, seasonal resets, sampling programs and new product launches. Provide professional, hospitable service to any customer needing assistance on the floor. What success looks like Deliveries received accurately and put away promptly. As required, orders placed on time, with supplies and assigned products kept at the right levels. Tidy, well organised storage spaces. Minimal expired product and reduced waste. Shelves and cases that are consistently full, rotated and appealing. Positive team culture and workplace environment contributions Qualifications 2+ years of experience in receiving, inventory or stock management (food retail preferred), customer service experience an asset. Strong attention to detail and solid organisational skills. Knowledge of food storage and safe food handling practices. Comfortable with basic inventory systems, spreadsheets or POS reporting. Able to lift up to 50 lbs, extended hours standing and work in cold storage environments.
