Inventory & Operations Associate

hellocare.ai is looking for a hands-on, organized, and detail-oriented Inventory & Operations Associate to support our day-to-day inventory, warehouse, fulfillment, and logistics activities in Florida. This role is responsible for ensuring that products and equipment are accurately received, recorded, organized, prepared, and shipped. The position will also support inventory reconciliation, returns, operational documentation, and coordination with carriers, vendors, and internal teams. This is a hands-on position for someone who is comfortable working with physical inventory while also maintaining accurate records and supporting the operational processes behind the movement of our hardware products. Key ResponsibilitiesInventory Management Receive incoming products and equipment and verify quantities against purchase orders and shipping documentation. Inspect incoming goods for damage, shortages, or discrepancies. Accurately record inventory receipts, movements, and adjustments in company systems. Label, organize, and store inventory in designated locations. Monitor stock levels and identify shortages or discrepancies. Perform regular physical inventory counts and cycle counts. Reconcile physical inventory against system records and investigate variances. Support monthly inventory reconciliation and closing activities. Order Fulfillment & Shipping Pick, verify, pack, label, and prepare products for shipment. Ensure orders are complete and accurate before dispatch. Prepare shipping labels, packing slips, and supporting documentation. Coordinate domestic and international shipments with carriers and logistics partners. Track shipments and help resolve delivery issues or delays. Support hardware distribution to customers, partners, and internal teams. Maintain accurate records of shipments and deliveries. Receiving, Returns & RMAs Receive, unload, inspect, count, label, and properly store incoming inventory. Process returned products and equipment. Inspect returned items and ensure inventory records are updated accurately. Support exchanges, replacement shipments, and RMAs. Track returns and related documentation. Warehouse & Operations Support Maintain an organized and efficient inventory and storage area. Assist with loading and unloading deliveries as required. Support improvements to warehouse organization and storage utilization. Maintain accurate inventory, receiving, shipping, and operational documentation. Assist with inventory audits. Coordinate with Operations, Finance, Procurement, and other internal teams when needed. Identify inventory or operational issues and proactively help resolve them. Support the development and improvement of inventory and operational procedures. Qualifications Previous experience in inventory control, warehouse operations, fulfillment, logistics, shipping/receiving, or a related operational role . Experience working with inventory management software, ERP/WMS systems, or similar tools. Comfortable using Microsoft Excel, Word, and Outlook . Strong attention to detail and commitment to inventory accuracy. Ability to maintain organized and accurate records. Strong organizational and time-management skills. Ability to manage several operational priorities in a fast-paced environment. Good communication and problem-solving skills. Ability to work independently while collaborating effectively with other teams. Comfortable performing hands-on warehouse and inventory activities. Preferred Qualifications Experience with inventory cycle counts and reconciliation. Experience with shipping carriers and freight providers. Familiarity with international shipping and customs documentation. Experience working with hardware, technology, healthcare, or medical-device products. Experience supporting returns/RMAs. Experience developing or following inventory and warehouse SOPs. Forklift experience or certification is a plus.
