Position Summary
The Inventory & Office Operations Coordinator is responsible for end-to-end inventory accuracy, control, and reconciliation, while coordinating merchandise logistics and supporting office operations and administrative functions. This role ensures accurate inventory tracking, efficient order fulfillment, and a well-organized office environment, while providing operational support for internal activities and events.
This is a hybrid position requiring regular in-office presence, as well as visits to storage facilities approximately three times per week, or as needed based on inventory fulfillment and operational requirements.
Key Responsibilities:
Inventory Ownership
- Make stock adjustments and maintain accurate, real-time inventory records in InFlow
- Perform weekly cycle counts and periodic full inventory audits
- Fulfil Shopify orders and internal merchandise requests
- Investigate and resolve inventory discrepancies and variances.
- Ensure inventory accuracy, loss prevention, and control processes
- Prepare merchandise kits for influencers, partners, and internal teams
- Oversee storage organization and optimization
- Manage inbound/outbound inventory (receiving, labeling, tracking)
- Support event inventory planning and reconciliation post-events
- Maintain documentation for inventory movements and adjustments
- Train staff on proper use of InFlow and inventory processes
Office Administration
- Manage office supplies, coordinate bi-weekly lunches, and vendor coordination
- Support office organization and workspace upkeep, including light office improvements and decor updates

Manage note-taking and documentation during full-team meetings
- Assist with administrative processing, including cash, cheques, and EMT entries into Raiser’s Edge
Operations & Cross-Department Support
- Support cross-departmental coordination and assist with tasks across teams as needed
- Assist with travel arrangements for staff and events, including booking flights and accommodations
- Provide logistical and administrative support for internal events and team initiatives
- Support other departments with administrative tasks as required.
Success Metrics:
- Maintain inventory accuracy rate of 95–98%
- Ensure timely and accurate order fulfillment
- Minimize inventory discrepancies and variances
- Maintain organized, efficient, and scalable storage systems
- Deliver timely and reliable administrative and operational support
Qualifications:
- 2-4 years of experience in operations, administration, or inventory coordination
- Experience with inventory management systems (InFlow or similar) is an asset
- Strong organizational and time management skills
- High attention to detail and accuracy
- Ability to manage multiple tasks and priorities in a fast-paced environment
- Proficiency in Google Workspace
- Strong communication and interpersonal skills
Working Conditions:
- Full-time, hybrid role
- Temp-to-hire with potential to convert to a permanent position based on performance and organizational needs.
