As our operations continue to grow, we are seeking a dependable, organized, and detail-oriented Inventory & Materials Assistant to support inventory control, receiving, materials organization, equipment preparation, and day-to-day operational needs. Position Overview The Inventory & Materials Assistant plays an important role in ensuring that technicians and service teams have the equipment, components, tools, and supplies they need to complete installations and service work efficiently. This position supports the movement and organization of materials from receiving through storage, inventory tracking, staging, and distribution. Responsibilities include receiving and verifying deliveries, maintaining inventory records, organizing equipment and components, preparing materials for upcoming jobs, monitoring stock levels, and assisting with returns and replenishment. Working closely with technicians, purchasing, operations, vendors, and other team members, the Inventory & Materials Assistant helps maintain an accurate and organized materials operation while keeping equipment readily available for scheduled projects and service needs. The ideal candidate is dependable, attentive to detail, comfortable working with both physical inventory and basic computer records, and able to manage multiple priorities in an active work environment. Previous inventory or warehouse experience is helpful but not required; training will be provided for the right candidate. Key Responsibilities Receive, inspect, count, and organize incoming equipment, components, tools, and supplies Verify deliveries against purchase orders, packing slips, invoices, and other receiving documentation Record received materials and maintain accurate inventory information in company systems, spreadsheets, or tracking logs Organize fire alarm components, security equipment, cameras, access control products, cables, wiring, connectors, hardware, tools, and related materials Maintain clearly organized storage locations so frequently used products can be located efficiently Monitor inventory levels and communicate low-stock or replenishment needs to the appropriate team members Prepare and stage equipment, parts, and materials for scheduled installations, service calls, and technician requirements Pick and organize materials according to work orders, project requirements, or internal requests Verify quantities and product information before materials are released for projects or service work Track material usage, transfers, returns, replacements, and inventory adjustments Assist with cycle counts, physical inventory counts, and reconciliation of inventory differences Identify missing, damaged, incorrect, or improperly labeled products and report discrepancies Assist with resolving receiving and inventory discrepancies with purchasing or other internal teams Coordinate with purchasing regarding incoming orders, product availability, backorders, and expected deliveries Assist with preparing equipment and materials for outgoing shipments, technician pickup, or delivery to job sites Process returned materials and help determine whether products should be restocked, returned to a vendor, or held for further review Assist with warranty-related equipment, replacements, and vendor returns when needed Maintain accurate receiving, inventory, transfer, return, and shipment documentation Support technicians by locating equipment, replacement parts, and commonly used service materials Help maintain appropriate stock of frequently used installation and service supplies Keep warehouse, storage, receiving, and staging areas clean, organized, and accessible Follow established pro…
