Job Description The parts/inventory manager will be responsible to oversee the entire parts process. From purchasing, to inventory control, to vendor relationships. This is a hands-on management position for someone who knows heavy equipment parts, understands purchasing and inventory, and can build a department that operates accurately and efficiently. We are looking for someone who will take ownership of the parts department and not someone who needs to be constantly managed. This person will be the primary point of contact for purchasing and inventory and will be responsible for making sure the company has the right parts, at the right price, at the right time. KEY RESPONSIBILITIES Purchasing Manage all parts purchasing for the company. Create and manage purchase orders. Source parts from the best available suppliers. Obtain competitive pricing when appropriate. Negotiate pricing, freight, terms, and availability with vendors. Develop and maintain strong vendor relationships. Track orders and expected delivery dates. Aggressively follow up on backorders and delayed shipments. Find alternative sources when parts are unavailable. Minimize unnecessary emergency freight and rush purchases. Ensure purchases are made at competitive costs while maintaining quality and availability. Inventory Management Take full responsibility for inventory accuracy. Maintain accurate part numbers, descriptions, costs, and inventory information. Create new inventory items when necessary. Establish appropriate stocking levels. Monitor inventory turns and identify slow-moving and obsolete inventory. Conduct regular cycle counts and inventory audits. Investigate and correct inventory discrepancies. Manage cores, returns, warranties, and credits. Ensure inventory is properly located, organized, labeled, and accessible. Maintain accurate inventory records in software Service Department Support Responding quickly to parts requests from Service. Determining availability and expected delivery dates. Prioritizing machine-down and urgent repair requirements. Ensuring required parts are ordered promptly. Communicating delays and backorders to Service. Identifying alternative parts or suppliers when appropriate. Making sure parts are properly received and available for the correct work order. Staging parts for Service jobs. Following up on parts that are holding up repairs. Rebuild & Dismantling Support Support the Rebuild Department with required parts. Support equipment dismantling and parts recovery. Properly account for parts removed from dismantled equipment. Maintain accurate inventory of used and rebuilt components. Help establish appropriate pricing and inventory values for used parts. Coordinate purchasing for rebuild and dismantling requirements. Parts Department Management Manage and lead Parts Department employees. Establish clear daily expectations. Assign responsibilities and hold employees accountable. Maintain a clean, organized, professional parts department. Ensure receiving is completed accurately and promptly. Ensure parts are properly identified, stored, and issued. Train employees on proper inventory and parts procedures. Monitor department productivity. Address performance problems quickly. Build a culture of urgency, accuracy, and accountability. REQUIRED QUALIFICATIONS Previous experience managing a heavy equipment, construction equipment, agricultural equipment, automotive, or industrial parts department. Strong knowledge of heavy equipment parts. Strong purchasing and vendor-management experience. Experience managing inventory. Experience with computerized inventory and purchasing systems. Strong organizational skills. Strong attention to detail. Ability to prioritize multiple urgent requests. Strong communication skills. Ability to work effectively with Service, Rebuild, Yard, and Sales. Ability to make decisions and solve problems without constantly relying on management.
