Inventory & Logistics Assistant
STONEARCHOverview The Inventory & Logistics Assistant keeps product, purchasing, and shipment information accurate and moving. You will create and maintain items in our system, raise and process purchase orders, track inbound containers from the supplier through ocean, rail, and road, run stock checks, and give the sales team and our clients reliable ETAs. You will work closely with the Shipping Manager, Sales, Purchasing, and Accounting. We currently use QuickBooks and Fishbowl and will be moving to Microsoft Dynamics 365 Business Central. KEY RESPONSIBILITIES Item & System Data Management Create and maintain item/SKU records in Fishbowl and QuickBooks, including descriptions, units of measure, sq ft per piece/crate, costs, vendors, and warehouse locations. Keep item, vendor, and inventory data clean, consistent, and complete across systems. Purchasing Create, issue, and process purchase orders; confirm pricing, quantities, and lead times with suppliers. Match receipts against POs, packing lists, and supplier invoices; flag and resolve discrepancies with Purchasing and Accounting. Monitor open POs and follow up with suppliers on production and dispatch status. Shipment & Logistics Coordination Track inbound containers end to end – on ship, at port, on rail, and on road – and keep the inbound container tracker current. Coordinate with suppliers, freight forwarders, customs brokers, rail and trucking carriers to keep shipments on schedule. Collect and manage shipping documents and support customs clearance. Watch for delays, holds, and free-time deadlines to limit demurrage and detention charges; book drayage and delivery appointments. Inventory Control Receive inbound containers into the system accurately and on time. Record and report damaged, broken, or non-conforming material and support supplier and carrier claims. Communication & Reporting Provide container ETAs and incoming stock updates to the sales team. Provide order ETAs to clients and the sales team, and proactively communicate changes or delays. Additional Duties Maintain organized digital and physical records for purchasing, shipping, and receiving. QUALIFICATIONS Required 2+ years of experience in inventory control, purchasing, logistics, or supply chain. Hands-on experience with an ERP or inventory management system (e.g., Fishbowl, QuickBooks, Dynamics 365 Business Central, NetSuite, SAP Business One, Sage). Working knowledge of import shipping: ocean containers, rail and truck freight, Incoterms, and customs documentation. Strong Excel skills (XLOOKUP/VLOOKUP, pivot tables, filtering and data clean-up). High attention to detail and accuracy with numbers and data entry. Clear written and verbal communication; comfortable updating sales staff, suppliers, and clients. Strong organization and the ability to manage multiple shipments and priorities at once. Assets Experience with Microsoft Dynamics 365 Business Central, especially during an implementation or data migration. Background in building materials, natural stone, tile, or landscape products. Post-secondary education in supply chain, logistics, or business. Familiarity with CBSA import processes and working with customs brokers. WORKING CONDITIONS On-site at our Bolton, ON office and warehouse, Monday to Friday. Mainly office-based. Pay: $22.00-$25.00 per hour Work Location: In person
