ConfidentialJob Summary Light Solo Inc. is a growing food manufacturing company in Redlands, California. We are looking for a reliable, organized, and detail-oriented Inventory & Documentation Assistant to support our daily factory operations. This position focuses primarily on production-related inventory management, ERP data entry, equipment and asset records, and factory documentation . Because we are a growing company with a small team, this is a hands-on and cross-functional position. In addition to regular inventory and documentation duties, the employee is expected to provide reasonable support in other areas of factory operations based on workload, production schedules, and business needs. Responsibilities 1. Inventory, Equipment & ERP Management Manage production-related inventory, including raw materials, ingredients, packaging materials, work-in-process (WIP), semi-finished products, finished goods, and other inventory items Accurately enter and maintain equipment information, inventory, material movement, and production-related data in the ERP system, and assist with physical inventory counts and reconciliation Manage and maintain records for office supplies, cleaning supplies, sanitation supplies, and other company consumables Maintain basic records for machines, production equipment, tools, and other company assets, including location and related information Record and report inventory discrepancies, damaged materials, production losses, discarded or damaged items, equipment issues, and other irregularities Assist with receiving, shipping, material organization, storage, and other inventory-related activities 2. Factory Documentation & Daily Operations Support Collect, review, organize, file, upload, and maintain various factory forms, documents, and records Maintain daily, weekly, monthly, and other periodic records, including but not limited to production, temperature, sanitation, cleaning chemical control, GMP, food safety, equipment maintenance, repair/service, and other factory operational records Organize and maintain equipment manuals, nameplate information, maintenance and repair records, service reports, vendor documents, related invoices, photos, and other factory information; upload documents to the ERP system, company cloud storage, or other designated systems as needed Review records for completeness and report or follow up on missing information, errors, unusual conditions, or other issues requiring attention Assist with organizing documents and records for government inspections, customer audits, internal reviews, and other factory requirements Support daily factory activities, including but not limited to receiving and signing for packages, receiving visitors and service technicians, basic phone or email communication, document handling, workplace organization, cleaning, moving materials or equipment, and supporting production or other factory work as needed Provide reasonable support across different work areas based on production schedules, workload, and business needs Perform other reasonable duties related to inventory, documentation, and factory operations as assigned Qualifications Previous experience in inventory, warehouse operations, manufacturing, ERP systems, documentation, or related work is preferred Food manufacturing experience is preferred but not required Knowledge of GMP and basic food safety practices is a plus Comfortable using computers and basic Microsoft Word, Excel, email, and electronic filing systems Able and willing to learn ERP and other company systems Strong attention to detail and ability to maintain accurate inventory data and records Good organizational, follow-up, and basic problem-solving skills Able to identify and report inventory, documentation, equipment, or operational issues Able to work independently on assigned responsibilities while also supporting the team when needed Reliable, punctual, responsible, and willing to learn and adapt to changing operational needs Able…
