Role summary The Inventory Control Specialist owns every material from the moment it arrives until it goes to production or ships. That covers receiving, incoming inspection, quarantine and status control, lot traceability, inventory accuracy and the warehouse itself. The role supports compliance with cosmetic GMP (ISO 22716) and FDA MoCRA requirements. About 80% of the time goes to these core duties; the rest goes to supporting production and other parts of the operation as needed. Core responsibilities Receive inbound raw materials, packaging components and client-supplied materials; verify against purchase orders and log receipts accurately. Perform incoming inspection and sampling of materials, and support Quality Assurance with material release. Manage quarantine and material status control in line with GMP. Maintain lot traceability and expiry tracking; rotate stock first-expired, first-out. Track and reconcile client-supplied materials. Control and reconcile labels and printed components. Verify and maintain Certificates of Analysis (COAs) and Safety Data Sheets (SDSs). Identify and document nonconforming materials; coordinate returns to vendors. Manage retain samples. Maintain inventory accuracy through system transactions, cycle counts and physical inventories. Keep the warehouse organized, safe and audit-ready, including proper storage of hazardous materials. Secondary and cross-functional support As a lean team member, you will also: Stage materials and components for production batches and receive leftover materials back into inventory after runs. Support filling, packaging, kitting and co-packing lines when needed. Perform quality control checks on finished products. Help with outbound shipping: pick, pack, build pallets and prepare shipping paperwork. Flag low stock and reorder needs to purchasing. Help write and update SOPs for receiving, inspection and warehouse processes. Take on other duties as assigned to support the operation. Depending on your strengths and interests, this role can grow into: Warehouse / Materials Lead or Supervisor – leading receiving, inventory and shipping as volume grows. Quality Control or Quality Assurance – moving into inspection, batch record review and material release. Purchasing / Supply Chain – managing vendors, reorders and inventory planning. Production – filling, compounding or production lead roles. We support that growth with cross-training, hands-on GMP experience and [TBD – e.g., forklift, DOT hazmat and GMP training paid by HWL]. QualificationsRequired High school diploma or GED. 2+ years of receiving, inventory or warehouse experience in a regulated manufacturing environment (cosmetics, personal care, food, dietary supplements, pharmaceutical or medical device). Working knowledge of GMP documentation practices: accurate, legible, contemporaneous records. Strong attention to detail and comfort with counts, lot numbers and specifications. Proficiency with inventory or ERP software, Excel/Google Sheets and email. Ability to read and follow SOPs, COAs and SDSs.
