Pioneer VendingPioneer Vending Job Title: Inventory Control Coordinator Reports To: Operations Manager Department: Shop Schedule: Monday – Friday 8am-5pm Position Summary The Inventory Control Coordinator owns the day-to-day control, accuracy, and organization of company inventory. This role is responsible for ensuring all parts, product, and equipment are properly ordered, received, tracked, stored, and issued to support uninterrupted operations across all departments. The Inventory Control Coordinator proactively manages inventory levels, maintains accurate records, and serves as the central point of accountability for inventory control, availability, and organization. Qualifications Education: High school diploma or equivalent required Experience: Previous inventory, accounting support, warehouse, or administrative experience preferred Familiarity with purchase orders, receiving, and inventory systems a plus Physical Requirements: Ability to sit or stand for extended periods Ability to lift and move inventory items up to 60 lbs Ability to bend, reach, and organize inventory regularly Skills: Strong organizational and time-management skills High attention to detail and accuracy Proficient computer skills (Excel, inventory systems, vendor portals) Strong written and verbal communication skills Ability to multitask in a fast-paced environment Problem-solving mindset with a positive, team-oriented attitude Key Responsibilities Inventory Control & Accuracy Maintain accurate inventory counts for parts, product, equipment, and supplies Perform regular cycle counts and assist with full physical inventories Investigate and resolve inventory discrepancies and variances Ensure inventory movements are properly documented in systems Own accurate setup and maintenance of customer, location, and equipment records within route and inventory software, including new customer setup and all ongoing equipment moves, ensuring fees, templates, and revenue splits are correct and updated prior to routing, collection, or billing. Receiving & Documentation Receive, inspect, and verify all incoming shipments Match shipments to purchase orders and packing slips Report shortages, damages, or incorrect items Label, store, and distribute inventory appropriately Maintain organized receiving records and documentation Purchasing & Replenishment Monitor inventory levels and usage trends Reorder items proactively to avoid shortages Create and track purchase orders Communicate with vendors regarding availability, pricing, and backorders Support budget awareness by minimizing emergency or excess ordering Operational Support Supply field teams and internal departments with required parts and materials Prepare kits, bins, or orders for daily routes or scheduled work Restock commonly used items Coordinate with operations to anticipate upcoming needs Respond to urgent inventory requests when necessary Organization & Storage Maintain clean, organized, and clearly labeled inventory areas Ensure items are stored safely and efficiently Rotate stock as needed to prevent damage, expiration, or obsolescence Keep inventory areas audit-ready at all times Loss Prevention & Cost Control Help prevent loss, waste, and shrink through proper tracking and controls Identify slow-moving, obsolete, or excess inventory Flag unusual usage or ordering patterns to management Support accountability processes for issued inventory Additional Responsibilities Assist with special projects related to inventory, organization, or process improvement Support other departments as needed Perform additional duties as assigned by management What Success Looks Like in This Role Inventory records are accurate, current, and trusted across all systems Equipment installs, moves, and removals are reflected correctly prior to routing, collection, or billing Field teams consistently have the parts, product, and equipment needed to perform their jobs without delays Inventory areas are clean, organized, and maintained i…
