Inventory Associate CTM Household Appliances Inc. Department: Inventory and Operations Reports to: Designated Inventory or Operations Manager Position overview The Inventory Associate maintains accurate inventory records and stock availability across Canadian and United States warehouses and retailer channels. The role processes inventory transactions, coordinates order routing, reconciles warehouse discrepancies and supports month-end reporting. Working closely with warehouse partners, Order Management, Onboarding and Finance, the associate helps ensure orders are fulfilled using reliable inventory information. Key responsibilities Inventory records and NetSuite transactions Update daily inventory records, warehouse stock files and order-routing tables using validated warehouse reports and transaction data. Record container receipts and transfer order receipts or fulfillments in NetSuite and supporting records, based on confirmed shipping and receiving documentation. Maintain accurate inventory condition and status, including saleable stock, returns, damaged goods and inventory in transit. Prepare and process inventory adjustments only with supporting documentation and the required approval; retain an audit trail of changes. Retailer portals and order coordination Upload accurate stock availability by warehouse to retailer and e-commerce portals, and as assigned. Download order files, and route orders to the appropriate warehouse using approved routing rules and stock availability. Respond to out-of-stock and portal inquiries; coordinate with Order Management and warehouse teams to resolve availability issues, reroute orders and escalate fulfillment risks. Maintain inventory upload templates, apply approved safety-stock settings and coordinate inventory setup for new SKUs and retailer channels. Update discontinued SKUs and assist with product activation in retailer portals when required, in coordination with Onboarding. Warehouse reconciliation and transfers Reconcile warehouse inventory reports against internal records and NetSuite on a recurring schedule; investigate differences by SKU, quantity, location and condition. Track transfers between warehouses and across borders, matching shipping documents, packing lists and receiving reports to identify shortages, damage or unreceived inventory. Coordinate discrepancy reviews with warehouse and third-party logistics partners, document corrective actions and follow unresolved items through to closure. Update records from validated scan results, physical counts and confirmed returns; support cycle counts and periodic inventory counts. Reporting and process improvement Prepare month-end stock reports by warehouse and provide reconciliation support to Finance within established deadlines. Maintain discrepancy and transfer tracking reports, including open items, causes, responsible parties and resolution status. Provide recurring stock updates for designated product lines and business partners, including Maison Elite, as assigned. Report inventory upload failures, template issues, repeated stock discrepancies and other exceptions promptly. Support improvements to inventory workflows, NetSuite processes and warehouse integration; maintain clear procedures and reduce duplicate manual work. Perform other related inventory and operational duties appropriate to the position. Qualifications and experience The following qualifications are recommended for the role. Diploma or relevant training in logistics, supply chain, business administration or a related field; equivalent practical experience will be considered. One to three years of experience in inventory administration, order processing, warehouse coordination or a similar role. Practical experience with an ERP or inventory management system; NetSuite experience is an asset.
