Position Title & Summary Job Title: Import Coordinator Report To: Operations Manager Employment Type: Hourly Position Summary The Import & Warehouse Coordinator is a hands-on operations role that bridges Bestway's import desk and warehouse floor. This position directs the daily work of warehouse associates, owns customer-facing cargo documentation (cargo receipts and photos), manages warehouse requests and special projects, and keeps the internal ops board and shared inbox current. The role also works side-by-side with the import team on all import-related duties, including driver check-in, delivery orders, storage, and freight release. The Import & Warehouse Coordinator serves as a key compliance checkpoint, ensuring that no freight is released unless it has been fully cleared. This role requires strong organizational and leadership skills, a professional demeanor with customers, drivers, and partners, and the ability to manage high-volume queues efficiently. Key Responsibilities Warehouse Coordination ● Serve as the warehouse lead: delegate and direct daily tasks for warehouse associates, balancing workload so freight is received, staged, stored, and loaded on time, and escalate attendance or performance concerns to the Operations Manager. ● Manage warehouse requests from customers and internal teams, ensuring each request is scheduled, assigned, completed, and confirmed back to the requester. ● Coordinate and support warehouse special projects, including re-palletization, segregation, crating, banding, shrink-wrapping, labeling, and packing, according to customer instructions. ● Track labor hours and materials used on value-added services and special projects, and submit them to accounting so all billable work is invoiced. ● Maintain inventory accuracy, including location tracking, piece-count verification against paperwork, and periodic cycle counts. ● Identify, document, and report OS&D (overage, shortage, and damage) exceptions immediately, with photos and written notes, and notify customers promptly. ● Coordinate dock door assignments and loading/unloading priorities for inbound recoveries and outbound pickups. ● Help keep the warehouse organized, clean, and safe, and reinforce forklift, PPE, and safe-lifting practices with warehouse associates. Customer Communication & Documentation ● Create and send cargo receipts to customers promptly upon freight arrival, including piece count, weight, dimensions, and condition. ● Photograph cargo at receipt, during special projects, and prior to release, and share photos with customers as requested or when exceptions occur. ● Manage the internal ops board for customer requests, ensuring every request is logged, assigned, updated, and closed out. ● Manage the shared inbox queue; ensure all requests are acknowledged, routed, and resolved within Bestway's response-time standards. ● Communicate with drivers, customers, freight forwarders, and internal teams in a timely, clear, and professional manner regarding shipment status, exceptions, and updates.
